Summary of Position The Workplace Coordinator is responsible for the processing, uploading, and tracking of physical records received to support Expert Medical and second opinions by Teladoc Health and general mail processing (EMS records mail). The coordinator uses tools, technology, and operational experience to perform technical tasks associated with mail processing and tracking. Essential Duties and Responsibilities
- Process daily mail through scanning software and other various software systems in the Lewisville office.
- Open all physical mail received in a timely manner, including imaging discs, x-rays and paper records.
- Match the records received to the appropriate record in the case management system .
- Organize, sort and upload records aligned with the appropriate tracking line (records request).
- Verify PHI (Personal Health Information) using manual and system processes.
- Document case notes as appropriate.
- Review records inbox for new records and process appropriately.
- Correspond via email with case teams as required.
- Perform other duties as required.
- In-office, five times per week
Qualifications Expected for Position
- Exceptional customer service orientation with a strong focus on client satisfaction.
- Demonstrated ability to maintain professionalism and composure in high-pressure situations.
- Skilled in prioritizing, organizing, and executing tasks efficiently under time constraints.
- Ability to multitask effectively and work independently with minimal supervision.
- Strong critical thinking and decision-making skills, particularly in high-stress or emergency scenarios.
- Excellent verbal and written communication skills with a proven track record of providing clear direction to team members.
Qualifications Preferred for Position
- Proficiency in Microsoft Office Suite, with advanced written, verbal, and interpersonal communication abilities.
- Highly organized with a collaborative approach to team dynamics.
- Familiarity with industries such as real estate, telecommunications, furniture, accounting, and building systems.
- The above qualifications, knowledge, experience, and/or background are expected but not required for this role.
