Job Summary:

The School of Medicine and Public Health (SMPH) facilities unit supports and maintains SMPH facilities by collaborating with service providers at UW-Madison, UW Health, and leased facilities. The SMPH Facilities Associate Director (AD) supervises the position. This position manages all facilities, jobs, and service requests at the Health Sciences Learning Center and Medical Foundation Centennial Buildings.

Under the direction of the AD, the incumbent supports all other SMPH locations, including mail and loading docks by assisting the AD and other staff assigned to those locations. The position hires and manages student labor associated with loading docks and mail, working directly with the AD and SMPH facilities coordinators at various SMPH locations. It collaborates with UW-Madison, UW Health, and leased space owners to provide facilities services and support other facilities staff working on projects in SMPH space. The incumbent will also participate in a rotating on-call schedule with the Facilities Coordinators.


Responsibilities:
Responsible for the security, custodial, grounds, recycling, repairs, maintenance, and utility services of facilities to ensure that they meet the needs of the university and its employees.

  • 20% Establishes priorities for scheduled mechanical and electrical services within the area of responsibility, administering preventive maintenance programs for facilities, inspecting facilities to determine repair or replacement needs, and supervising the performance of emergency and routine maintenance on campus facilities within the area of responsibility
  • 10% Ensures all protection systems such as fire panels, smoke/heat detectors, sprinkler systems, and pumps are maintained in accordance with the regulatory requirements and industry standards and ensures all emergency generators/power systems, rigging systems, and elevators are properly maintained in accordance with industry standards and are operational at all times
  • 10% Minimizes institutional liability regarding the university's compliance with federal regulations and regulations governing environmental protection, the handling of hazardous materials and hazardous waste, and the use of chemical substances and materials
  • 10% Works with procurement services and planning, design and construction as appropriate in developing bid specifications and contract documents for contract work to be performed, obtaining, reviewing, and analyzing estimates from reputable vendors, and preparing the bid tabulation sheets and associated paperwork to support the request
  • 20% Ensures that the work performance of employees in the area of responsibility and maintenance zones or sections as a whole meet university standards and expectations
  • 10% Coordinates and sometimes directly supervises the performance of emergency and routine maintenance on campus facilities
  • 10% Assist Associate Director and Facilities Coordinators by supporting all SMPH building locations
  • 10% Manage all loading docks and mailrooms, including supervision of shipping and mail coordinators and student labor

Qualifications:

Required:
1. Minimum 3 years of experience managing building facilities within a team environment
2. Proficient use of Microsoft Office Excel and Word
3. Prior experience with facility management, emphasizing building security, custodial, grounds, recycling, repairs, maintenance, building infrastructure, technology, mechanical, electrical, and plumbing knowledge, and utility services of facilities to ensure that they meet the needs of the School of Medicine and Public Health (SMPH), university and its faculty, staff, and students
4. Prior experience working with various design professionals and contractors, including architects, engineers, interior designers, and all trades
5. Excellent written and oral communication skills to develop and maintain cohesive and comprehensive professional relationships with faculty, staff, students (customers), various stakeholders, and design professionals and to effectively distribute complex information clearly and concisely
6. Skill and commitment to providing quality customer service
7. Excellent organizational skills, attention to detail, ability to handle sensitive information, and ability to work independently and in a team setting

Preferred:
1. Knowledge of the administrative structure and functional requirements of facilities in higher education, including outpatient clinical, teaching, and research facilities with wet lab and animal facilities
2. Ability to interact with and manage complex sequential work requests with multiple stakeholders
3. Understanding contemporary technical maintenance practices and techniques. Knowledge of building systems operations, including Heating, Ventilation, and Air Conditioning (HVAC), refrigeration, steam and chilled water distribution, electrical, plumbing, building materials, building automation, and security systems
4. Prior experience supervising at least 2 people

The starting salary for the position is $71,994 but is negotiable based on experience and qualifications.

Additional Information:
