Fincantieri Marinette Marine, a Fincantieri Marine Group Company, is a progressive shipyard specializing in building ships for the United States Navy. We currently have an opportunity for an Executive Administrator at our Marinette, Wisconsin location.

POSITION SUMMARY

This position is responsible for supporting the Chief of Shipyard Operations and his staff, assisting in projects concerning each program as requested. The individual will perform tasks with minimal supervision, exercising independent judgment and discretion. Duties may involve access to confidential information. The position requires knowledge of company policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.



  • Coordinates preparation and distribution of Custom Time Detail reports for Yard employees in accordance with DCMA requirements.
  • Assists the Chief of Shipyard Operations and other Manufacturing Supervisors with project coordination.
  • Efficiently manages and prioritizes the use of conference rooms in the PRO building, optimizing for strategic initiatives.
  • Creates and analyzes program metrics, preparing monthly reports to measure Manufacturing Level 2 goals.
  • Creates and maintains organized digital and physical filing systems for essential documents (e.g., Care and Protection Data).
  • Schedules and coordinates "All Hands" meetings with Union employees in support of Chief of Shipyard Operations communications.
  • Maintains the Manufacturing Organization Chart and Salary Manpower Report. Coordinates with HR to track requisitions and filled positions.
  • Serves as a source of support and information for members of Manufacturing and other departments.
  • Skilled in the preparation of spreadsheets, databases, flow charts, and organizational charts.
  • Schedules and coordinates appointments and meetings.
  • Coordinates manufacturing travel authorizations with the travel department/travel agency.
  • Fills in for Reception/Switchboard for lunch breaks on a rotating schedule.
  • Ensures administrative personnel are trained and assists in identifying training needs.
  • Detail-oriented with the ability to deliver accurate work within established deadlines.
  • Maintains Manufacturing department procedures and work instructions.
  • Able to create reports and project documentation in final format from rough notes or drafts.
  • Maintains confidential department personnel files, including vacation status, performance reviews, and goals.
  • Orders office supplies and monitors budgetary spending.
  • Assists Chief of Shipyard Operations and staff with special projects as requested.


SUPERVISORY RESPONSIBILITIES

Directly supervises the Data Systems Coordinator, who manages the Train Track database and maintains company-wide certifications/certificates for all employees. Carries out supervisory responsibilities in accordance with the company's policies, procedures, and applicable laws. Responsibilities include planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.

While performing the duties of this job, the employee's workspace is in a clean and comfortable climate-controlled setting with little to no exposure to the moving equipment, elements, extreme conditions, or risk of injury. The noise level in the work environment is usually quiet. When entering the shipyard, the work environment is not climate-controlled and there is exposure to moving equipment, etc.
