Ensuring Excellence and Compliance at the YMCA - now hiring a part-time Compliance & Quality Coordinator!

The Compliance & Quality Coordinator is a key Operations team member, focused on ensuring that programs meet requirements related to the Child Care Assistance Program, License Exempt Childcare Programs, Internal Safety Protocols, Department of Family and Support Services, and other compliance domains related to grant funding, safety, child abuse prevention, programmatic quality, and YMCA best practices.

In collaboration with the Operations Director of Youth Development, Senior Regional Directors, Executive Directors, Youth Development Directors, and Corporate Resources, this role develops strategies and identifies tactics to support meeting the requirements and needs of youth development programs. The Compliance & Quality Coordinator monitors compliance, including training, certifications, background checks, fingerprinting and proper reporting (which is unique to each compliance domain) for current and future employees on selected teams. The Compliance & Quality Coordinator also supports the larger Learning portfolio on special projects, such as grant deliverables, audit preparation, and board reports.

This role is responsible for communicating any compliance issues to appropriate team members and supervisors and acting as a support system to ensure that any issues are remediated in a timely manner.

Salary range starts at $18.00 per hour and opportunities to grow within the organization

Scope and Responsibility



  • In collaboration with leaders in the Learning and Youth Development portfolios, develop strategies and techniques to ensure compliance with external agencies and internal protocols
  • Facilitate communication between external agencies and Youth Development programs, ensuring that compliance requirements are clear, that strategies to meet deadlines are clear, and that the audit process is organized and completed without findings
  • Develops a high-performance culture by setting expectations, evaluating performance, coaching for success, and being in continuous improvement
  • Leads and champions process and procedure improvement efforts
  • Maintain a set of resources for the Learning portfolio, including compliance tracking documents, compliance calendars, training materials, requirements for grant-funded programs, and guidelines for maintaining compliance
  • In collaboration with operations leadership, ensure all required training is completed and properly documented by youth development employees and that background check clearances are accurate and current
  • Collect data and prepare regular reports to communicate the status of selected programs
  • Support program management in planning for audit needs and the development of action plans to address persistent challenges
  • Prepare applications and documents to maintain license exemption statuses for all youth development programs
  • Aid in preparation of grant audits and support continuous reports as required by grant deliverables
  • Train YMCA hiring managers and other key personnel on program-specific compliance processes and aspects related to program quality
  • Collaborate with Operations Director, Executive Directors, Senior Regional Directors, and Youth Development Directors to support programmatic quality - including onsite visits and audits, assisting with program execution, aiding with program logistics, and supporting direct service staff
  • Other duties as assigned


    Minimum & Preferred Requirements



    • High school diploma or GED equivalent, plus 1-3 years of relevant work experience required
    • Maintains systems of order and demonstrate high caliber organizational skills
    • Excellent time management skills and attention to detail
    • Strong written and verbal communication skills required
    • Must demonstrate an ability to work independently in a fast-paced, goal-oriented environment
    • Familiarity with the Microsoft Office suite, including intermediate-level skills with Microsoft Excel and Microsoft Word required. Must also be able to quickly learn new systems
    • Travel to other YMCA locations throughout Chicago and the suburbs may be required up to 40% of the time depending on compliance needs




      Preferred:



      • YMCA experience of any kind
      • Prior knowledge of CCAP, DFSS grants, DCFS License Exemption Process, or Gateways/INCCRRA platforms
      • Past experience leading trainings or facilitating meetings


      Child Abuse Prevention - Supports the YMCA's commitment to child abuse prevention by:



      • Reporting any items that may provide a health or safety hazard to staff, members or guests to your supervisor
      • Following all policies and procedures related to keeping children safe in our facilities and programs, including those related to the monitoring and supervision of children
      • Reporting any suspicious behavior and violation of policy and procedures to your supervisor
      • Completing all child abuse prevention training as required
