Job Summary:
- This position provides Assistant support to our Portfolio Management, R&D and Technical Operations Leadership team with the highest level of professional support, including project coordination, calendar management, travel coordination, email management, handling of phone calls and expenses, coordination between teams, contract support, and key external partnerships.
- Reliability and attention to detail are paramount, along with a mindset that no task is insignificant. An ability to thrive in an early-stage company with ambiguity and autonomy will be critical. You will excel in this position if you are goal-driven and can triage and execute time-sensitive requests within a startup environment with minimal oversight.
- In addition, as the Bedford site continues to grow, this individual will work closely with our Manager of Site Services to assist with implementing the right processes and practices across the organization, and may include procuring material and resources, working with vendors, inter-company coordination between departments, securing compliance, and implementing best practices across all levels.
- Vital support to project managers and teams, ensuring smooth project execution by managing schedules, documentation, and communication will be critical. You'll track progress, assist in resource allocation, and help identify potential roadblocks, keeping projects organized and on track. Your organizational skills and attention to detail will be crucial in maintaining project documentation and facilitating communication, allowing project managers to focus on strategic goals and ensuring projects are completed efficiently and within budget.
Essential duties and key job responsibilities and essential functions:
- Manage complex and dynamic calendars (scheduling meetings, managing calendars, preparing agendas, and taking meeting minutes)
- Organizing, maintaining, and distributing project documentation, including plans, reports, and meeting notes.
- Acting as a point of contact for project team members and stakeholders, ensuring clear and timely communication.
- Progress Tracking: Monitoring project timelines, deliverables, and milestones, and reporting on progress to project managers.
- Assisting in the allocation and tracking of project resources, including equipment and materials.
- Assisting in the preparation of project status reports, presentations, and other relevant documentation.
- Stakeholder Management: Communicating with vendors and stakeholders to ensure that project requirements are met.
- Manage all aspects of travel arrangements, such as booking, preparing travel itineraries, making changes as needed, and submitting expense reports
- Coordinate meetings to include participant's travel, lodging, dining arrangements, and meeting space as needed
- Screen incoming executive communication: phone calls, emails, mail, and visitors; route and resolve information requests
- Attend meetings as needed; take and transcribe notes
- Provide administrative support for company-wide applications including but not limited to Zoom, Microsoft Office (Word, Powerpoint, Excel, Teams, Outlook), Concur (Accounting/ Expense reporting system), etc.
- Draft complex and/or confidential correspondence, handling confidential company materials with sensitivity and discretion
- Edit documents and presentations as needed
- Maintain and organize files, including duties relating to contracts management and ensuring organizational adherence to established workflow
- Work in tandem with the Site Office Manager, other Executive Assistants, and staff to plan and execute company-wide activities and events

Minimum qualification to perform the job; specific skills; education; knowledge and job experience necessary to perform essential duties; physical requirements for job if any.
- 8+ years of support experience required (real, recent, and meaningful) in a fast-paced environment, ideally related to project management
- High School Degree/ Diploma Required, Bachelor's degree from an accredited university preferred
- Effective communication, including speaking, writing and active listening
- Able to give and receive feedback from a variety of channels
- Collaborating with others and can resolve conflict with tact and professionalism
- Fluency with Microsoft Office 365 and Google Workspace
- Ability to find answers and information without oversight
- General tech-savvy ability to leverage modern technology
- Strong editorial skills to be utilized in reviewing sensitive and confidential information
- The ability to interact with everyone within the organization, regardless of position
- Ability to anticipate the needs of busy executives
- The ability to condense complex information into easily untestable snippets
- Capability to work independently at times without much supervision

- Full-time role, Monday to Friday 8am - 5pm
