Job Summary

Supports the Office of the Provost, Planning and Finance in all matters related to faculty onboarding support. Represents the Provost's Office in meetings as needed and ensures compliance with University and CBA policies.

  • Manages faculty and adjunct faculty postings to include applicant status changes, initiation of applicant communications. Ensures the completion of search and screen requirements such as confirming that interviews are logged, the shortlist is marked, and references are requested. Assists in the resolution of process and systematic issues and/or inquiries received from department representatives, employees and/or applicants.
  • Assist Hiring Managers in identifying diverse advertising and sourcing strategies' including but limited to job boards, web searches, faculty and staff referral generation, and industry/discipline-specific sources.
  • Creates faculty and adjunct faculty job openings/postings in the Talent Acquisition Manager for academic units and maintains effective communications to the search chairs, committees, and HR liaison.
  • Facilitates successful adjunct on-boarding process; conduct sign-on meetings and ensures completion of I-9 and other required paperwork for payroll processing. Including creating and processing Job offer and manage hire process.
  • Initiates pre-employment process for adjunct faculty and notifies department of results.
  • Ensures procedures are compliant with University policies, departmental/college by-laws, Equal Opportunity Programs & Diversity (EOPD) mandates, and other applicable laws.
  • Maintains the confidential nature of all employees' and applicants' privileged information used or observed in the course of performing job duties.
  • Assists in the review and approval of all faculty-related HR actions including but not limited to personnel actions, Initial Faculty Appointment Forms, Change in Status forms, ensuring consistency between documents and academic policies prior to submission to HR.
  • Facilitates the onboarding and processing of non-competitive hires, to include but not limited to Visiting Faculty, Temporary Faculty, and Posting Exemptions.
  • Coordinates and processes changes to current faculty postings in PeopleSoft HR as approved. Documents changes as appropriate.
  • Ensures the onboarding of the new hires from the initial completion of the sign-on and other forms to the creation of the appointment in the HR system. Maintains compliant record keeping of applicant information.
  • Performs other related duties assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications

Bachelor's degree and two (2) years of office or related experience providing administrative support, or coordinating functions of an office or department.

Desired Qualifications

  • Master's degree in a related discipline and three years of professional recruitment experience.
  • Experience working in higher education administration.
