Responsibilities and Duties:

  1. First Line of Contact with Customers, Vendors and Visitors:
    • Answers and directs all incoming calls
    • Provides basic information about P1 Service
    • Greets and directs visitors
    • Coordinates phone coverage schedule covering his or her absences and/or breaks
  2. Incoming and Outgoing Mail Deliveries:
    • Stamps, sorts, and distributes all incoming mail and interoffice deliveries
    • Prepares outgoing mail, courier, and UPS pickups
  3. Provides administrative support to HR Department.
    • Maintains accurate and up-to-date human resource files, records, and documentation.
    • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately while maintaining their integrity and confidentiality.
    • Maintains the inventory of welcome packets for new hires, including benefit packages.
  4. Schedules meetings, interviews, HR events and maintain HR agendas.
  5. Assists in maintaining proper records in HRIS System, including but not limited to assisting with updating processes and procedures and maintaining uniformity of SharePoint
  6. Sorting emails for the HR Department.
    • Serves as a reliable source of information for employees, promptly answering frequently asked questions from applicants and employees relative to where to find standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate HR staff or management.
  7. Assists with new hire orientation and with new hire hospitality items, such as nameplates and business cards.
  8. Tracking Policy Acknowledgments.
  9. Assists with monitoring employee eligibility for benefit plans.
  10. Assist with processing background checks.
  11. Ensures compliance with USCIS Form I-9 Employment Eligibility Verification; Periodically audits Forms I-9.
  12. Assists with distributing State, Federal and Company required postings.
  13. Performs other duties as assigned.

Required Education and Experience:

  1. High School diploma or GED equivalent
Preferred Education and Experience
  1. 2 years of Receptionist/HR Assistant experience preferred
  2. PHR or SHRM-CP certification
  3. Computer Skills: The incumbent must be proficient in using email, database, internet, spreadsheet, and word processing applications: specifically, Microsoft Office products (Word, Excel, PowerPoint, and Windows).
  4. Customer Service - manages difficult or emotional customer situations; responds promptly to customer needs; solicits customer feedback to improve service; responds to requests for service and assistance; meets commitments.
  5. Interpersonal Skills - focuses on solving conflict, not blaming; maintains confidentiality; listens to others without interrupting; keeps emotions under control; remains open to others' ideas and tries new things.
