Summary The Proposal Project Lead is responsible for overseeing each proposal from kickoff to submission. This role ensures that all requirements are clearly understood, deadlines are met, and final deliverables meet TRIMEDX's quality standards. Acting as the lead for every bid, the Proposal Project Lead establishes a detailed schedule, maintains compliance matrices, and keeps all contributors - ranging from subject matter experts to leadership - well-informed and on track. By leading the overall proposal development effort, the Proposal Project Lead plays a crucial role in delivering timely, accurate, and compelling proposals that align with TRIMEDX's strategic objectives. The Client Resource Center (CRC) is a dynamic hub for client communication, nurturing relationships with sales, operations, product marketing, and subject matter experts in every department. Responsibilities Project Coordination (40%) * Coordinate Preparation & Delivery: Oversee the creation and submission of Business Development or Client Experience proposals, including proactive pitches and formal RFPs. * Organize Meetings & Schedules: Lead kickoff and review sessions, assign tasks, and maintain project timelines to ensure all contributors stay aligned on objectives. * Maintain Compliance: Use compliance matrices to track and verify that all RFP requirements are addressed, escalating issues if gaps arise. * Track & Report Progress: Prepare status reports, briefings, and presentation materials for leadership; support post-submission activities such as clarifications or resubmissions. Content & Quality Assurance (30%) * Tailor Proposals: Collaborate with Proposal Writers, Business Development, Client Experience, Operations, and SMEs to customize responses for each client's specific requirements. * Integrate Feedback: Oversee draft reviews and consolidate input from SMEs, writers, and stakeholders into cohesive, high-quality proposals. * Final Checks: Conduct thorough quality and compliance reviews to ensure consistency with brand guidelines, messaging, and RFP instructions before submission. Stakeholder Management (20%) * Single Point of Contact: Serve as the main liaison for Opportunity Owners, SMEs, and senior leaders, centralizing communications to streamline decision-making. * Risk & Issue Escalation: Monitor progress closely; identify resource constraints, conflicting deadlines, or other bottlenecks and raise them early for resolution. * Approvals & Sign-Offs: Obtain timely buy-in from executives and relevant teams, ensuring no last-minute disruptions. Process Improvement (10%) * Refine Best Practices: Work with the CRC Manager to evaluate current workflows, templates, and standard operating procedures, making data-driven recommendations. * Implement Solutions: Develop or enhance proposal tools, templates, and processes that increase efficiency and win rates. * Document Lessons Learned: Capture insights from each proposal cycle to continuously improve future bids. * All other duties as assigned. Skills and Experience * 5+ years managing proposals, preferably in healthcare or similar industry. * Strong leadership, collaboration, and communication skills. * Ability to interpret technical or regulated content and translate it into responsive, clear, compelling narratives. * Experience working with cross-functional teams. Desired Qualifications * APMP Foundation or other relevant proposal/project management certifications. * Experience with Qvidian or similar proposal automation platforms. * Track record of managing multiple simultaneous proposals. Education and Qualifications * Associates degree in Business, Communications, English, or a related discipline, or equivalent experience is required. Bachelors degree is preferred.
