Position Summary

The Psychology Clinic is seeking a highly motivated and professional Administrative Assistant 3. The Psychology Clinic provides mental health services to the community and professional level training for students in the Clinical Psychology Doctoral Program.

The Administrative Assistant will perform and/or oversees a diverse range of administrative support and fiscal duties for the Clinic. The ideal candidate will need to be comfortable working independently and must possess exceptional organizational and communication skills (both written and verbal) as this person serves as a liaison to various core offices on campus. Due to the nature of the office, this position requires a high level of confidentiality, and must maintain an emotionally safe and accepting interpersonal environment for clients. The ideal candidate requires a range of skills that are compliant with APA, HIPPA, and FERPA laws; as well as University and Mental Health care policies and procedures for handling confidential client/patient information.

Duties and Responsibilities will include:

  • Provide administrative support for the Clinic
  • Manage the front desk operations; answering telephones, issuance of parking permits, checking in clients, billing, and assist clinical students providing services
  • Manage the clinic email and calendars
  • Maintain office supplies
  • Maintain billing recordkeeping which includes a leased copy machine
  • Serve as the building coordinator for the Clinic and Agora (submit work orders, safety plans, space survey and equipment inventory
  • Serve as principal liaison between students and/or faculty, staff, other departments, and external constituencies on day-to-day programmatic, operational, and administrative issues.
  • Keep up-to-date clinic policies and procedures and training manuals
  • Maintain client files in compliance with HIPPA and FERPA: consent forms, service fees, recordings and logs
  • Preparation of training materials and community materials for dissemination
  • Keep organized records of student hours and training
  • And other duties as assigned

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.


Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • UNM experience (policies and procedures)
  • Previous experience working in a clinical or medical office
  • Knowledge of general accounting principles
  • Medical billing experience
  • Experience with Microsoft Office applications, or comparable software (Word, Excel, and PowerPoint)
  • HIPPA training
  • FERPA training
