Description

GAI Consultants Inc. is seeking a Senior Technical Administrative Specialist 2 to join our team in our Pittsburgh, PA office. This specialist will assist the Archaeology team in creating and editing documents for varied government deliverables. Enhancing the overall readability and flow of documents, while maintaining the integrity of technical information. In this position you will Collaborate closely with directors and project managers to understand the scope and details of assignments, providing real-time editing support.

Primary Responsibilities include:



  • Review and edit environmental documentation such as NEPA and Section 106 submittals.
  • Review format and layout of documents of draft and final products for varied government deliverables.
  • Edit copy for clarity, accuracy, grammar, punctuation, and consistency.
  • Enhance the overall readability and flow of documents, while maintaining the integrity of technical information.
  • Verify that all references and citations are accurate and properly documented.
  • Perform final proofreading to ensure that edited documents are free from errors, typos, and formatting inconsistencies.
  • Ensure that documents follow the organization's style guide.
  • Responsible for maintaining the organization's style guide.
  • Create, edit, automate, and maintain user documentation, including templates, boilerplate text, training guides, tutorials, etc.
  • Collaborate closely with directors and project managers to understand the scope and details of assignments, providing real-time editing support.
  • Create automated processes to transfer data recorded by apps like Survey123 into government-required formats (Access, Word, or PDF).
  • Perform other duties, as requested.

  • Begins to acquire general knowledge of principles and practices of related fields, and ability to function on multidisciplinary teams.
  • Begins to apply teamwork skills to effectively plan, execute, and manage scopes, schedules, and budgets to meet project stakeholder needs.


Minimum Years of Experience



  • 16+ Years of Experience


Education



  • Associate degree (or higher) from accredited college or university preferred.
  • Combination of experience, related coursework and/or education may replace requirement for college degree.


Certification/Licensure



  • Notary Public preferred.
  • Driver's License


Technical Responsibilities



  • Assists in the creation and maintenance of project related forms or documents.
  • Answers questions about administrative best practices and procedures.
  • Performs special projects and other tasks, as assigned. May serve as a Travel Power User with the same responsibilities as a Senior Travel Specialist 1.


Project and Task Management



  • Occasionally plans and coordinates detailed aspects of projects.
  • Assists with preparation of project scopes, schedules and plans for assigned projects.
  • Occasionally assigns tasks to other administrative staff.
  • Mentor other administrative staff


Management Responsibility



  • Receives general direction on key objectives. Receives guidance on unconventional/complex problems, direction on modified techniques, and new approaches on assignments with conflicting criteria.
  • Attends project meetings and assists with meeting minutes.
  • Mentors junior staff by providing guidance, explaining responsibilities and reviewing work products.


Communication Skills



  • Possess effective oral and written communication skills; interacts with other staff; interacts with all GAI staff, outside vendors and clients.
  • Communicates effectively to both technical and nontechnical audiences.
