Job Description:

The Trust Operations Managers handles complex reporting requirements and ad hoc business requirements for Nixon Peabody Trust Company's trust and estate clients. This role handles complex special projects such as research, data querying, and bulk imports. This role is a key resource for system implementations and upgrades as well as an escalation point for other Operations team members. In addition, this role reviews processes for efficiency and implements changes as needed. A hybrid work schedule is available for this position.

Reporting Relationships:

The Trust Operations Manager reports to the Director of Trust Operations.

Location: Boston, MA

  • Implements data requirements for the Trustees, Director of Trust Operations, and other NPTC teams.
  • Serves as expert report developer. Utilizing BI tools, designs and develops new reports for ad hoc requests as well as new reporting requirements as needs arise.
  • Administers trust accounting system, assists clients with system-related inquiries, and troubleshoots issues in partnership with vendor. Adds new users and maintains their system privileges.
  • Provides technical leadership to ensure that Trust Operations is delivering quality service while reducing risk and liability for all clients. Troubleshoots and provides assistance to other team members for more complex issues and questions.
  • Explores the trust system data to identify and report on patterns, meaningful data relationships, anomalies and trends.
  • Provides expert guidance regarding client trustee fees set-up and changes.
  • Maintains deep knowledge of all functions of the trust accounting system to be leveraged to provide expert guidance within NPTC.
  • Provides backup for daily balancing functions, daily processing of transactions as needed.
  • Provides technical support and data analysis for new system implementations and upgrades.
  • Implements system updates and releases and identifies new and changing business requirements. Recommends and implements effective solutions as requirements change.
  • Takes a leading role with conversions and collaborates with the Director of Trust Operations to plan, design and implement trust system, custodian and data migrations.
  • Develops and implements new trust company procedures and documents and improves efficiency in existing ones.
  • Serve as a point of escalation while maintaining and monitoring issues as reported.
  • Develop and oversee strategies for process improvements. Subject matter expert for the trust company's trust account system as well as other key pieces of software used by the trust company.
  • Implement new interfaces and maintain account eligibility for system interfaces.
  • Documents errors and the process to resolve.
  • Closely monitor industry trends regarding fraud controls. Works with firm Chief Compliance Officer to ensure latest control measures are implemented and documented for the trust company.
  • Adds value to relationships by solving existing problems, anticipating potential problems, and suggesting operational or administrative changes to align procedure with industry best practices.
  • Manage the production of specialized client and management reports and queries to satisfy clients' data analysis needs.
  • Review daily overnight reporting from trust system regarding asset pricing and other data analysis and address any issues.
  • Attend industry and vendor conferences as needed.
  • Maintains a high level of knowledge regarding investment and tax issues, trends and developments in the trust industry, shadow accounting and various software solutions.
  • Builds and maintains strong and cooperative relationships with other departments.
  • Perform other duties as assigned.

Job Requirements:
  • 8-10 years trust operations experience. Prior use of Fi-Tek GWES, Addepar, and/or IBM Cognos preferred.
  • Bachelor's degree in Accounting, Economics, Finance, Trust Law or Wealth Management required or commensurate level of experience.
  • Preferred advanced designations such as CSOP or CTOP
  • Strong understanding of securities processing and trust banking or brokerage industry
  • Working knowledge of trust accounting systems, trust operations and trust administration
  • Broad knowledge of trust and estate administration, fiduciary taxation, fiduciary laws and regulations, estate planning and investment management
  • Strong computer proficiency and excellent mathematical and communication skills.
  • Strong attention to detail.
  • Ability to work independently and as part of a team.
  • Uses time effectively and efficiently and values the time of others.
  • Advanced Microsoft Excel capabilities such as pivot tables and formulas (e.g., VLOOKUP)
  • Strong research, analytical and communication skills
  • Ability to manage to strict deadlines

In accordance with applicable Federal and State laws, the anticipated annual salary range for this position, depending on location, is as follows:

  • Boston, MA: $121,749 to $180,749

In addition to a standard benefits package, this role may be eligible for additional contingent compensation based on an array of factors, including but not limited to: work performance, geographic location, work experience, education, and qualifications. Because such contingent compensation is not yet calculable or may be zero ($0) in some circumstances, the above-listed salary range(s) are Nixon Peabody's good faith estimate of the annual salary(ies) it reasonably expects to pay for the position at the time of this posting.
