Katz School of Medicine has 27 basic science and clinical departments full and with over 700 full- and part-time faculty, 800 volunteer faculty, and more than 500 additional staff. With more than 11,000 alumni, Katz has trained a significant proportion of the physician base in the Pennsylvania-New Jersey-Delaware region. Reflecting the excellent quality of a Temple medical education, the MD graduates are highly regarded by competitive residency training programs. The Katz School of Medicine home base is a modern, 11-story medical education and research building with state-of-the-art facilities and technologies. The building opened in 2009 and boasts open-air research labs, smart classrooms, and a state-of-the-art anatomy lab. More than half of the space in the building is dedicated to research. With specialized research centers and strengths focused on population health, neuroscience, cancer, metabolic disease, lung disease, and inflammation, infectious diseases including HIV, cardiovascular disease, substance abuse, and translational science, Katz conducts investigations to break new ground and trains future generations of researchers to follow suit. In addition to its Philadelphia campus, Katz has a four-year regional campus in Bethlehem, PA-the St. Luke's University Health Network-Bethlehem. The Katz School of Medicine also provides opportunities for international students through educational affiliation agreements with universities worldwide. Visiting medical students may take up to two rotations within the program, and they must be full-time students in their final year of medical school.

The Lewis Katz School of Medicine (Katz) seeks an adaptable Administrative Executive Assistant to provide high-level support in a fast-paced and dynamic environment. The successful candidate will manage complex schedules, coordinate travel, and assist with daily operations, serving as the primary point of contact for the Dean and handling inquiries and requests. This role involves performing highly responsible and complex Medical School-wide assignments, supervising other administrative and reception staff, and ensuring all duties align with the Dean's guidance. The work environment requires the ability to multitask, prioritize effectively, and adapt quickly to changing circumstances. Effective communication is crucial, as the role involves consistent interaction with various stakeholders, strong writing and proofreading skills, and maintaining professionalism and diplomacy in all communications. This position is essential for the professional functioning of the administrative office and requires strong organizational skills, critical thinking, and the capacity to manage multiple issues with accuracy and discretion. Reports to Chief of Staff. Performs other job-related duties as assigned.

Required Education & Experience:
Bachelor's degree and a minimum of four years of experience as an administrative secretary or administrative assistant with at least three years of experience directly supporting senior/executive level staff. An equivalent combination of education and experience may be considered.

Required Skills & Abilities:
*Demonstrated strong scheduling word processing, spreadsheet, and database management experience.
*Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint) and other relevant software applications and video conferencing platforms. (e.g. Zoom)
*Familiarity with the academic medical center environment is highly preferred.
*Excellent organizational, communication (verbal and written) and interpersonal skills required.
*Must be able to meet deadlines in a fast-paced, quickly changing environment.
*A proactive approach to problem-solving with strong decisionmaking skills.
*Exceptional attention to detail and accuracy in all tasks.
*Ability to adapt quickly to changing circumstances and manage multiple tasks simultaneously.
*Demonstrated problem solving, strong project management, research skills, and technology savviness/computer literacy are preferred.
*Ability to work well both independently and collaboratively in a diverse and rapid-paced academic medical environment.
