Overview

Beyond New Horizons, LLC (BNH) has an exciting opportunity for an Administrative Assistant, supporting the Test Operations and Sustainment contract, at Arnold Engineering Development Complex at Arnold Air Force Base, TN. This Administrative Assistant will be supporting an integrated team responsible for providing the United States Air Force Test Operations and Sustainment efforts in our Flight Branch.

Job Summary

The successful candidate will exhibit a strong level of initiative and ability to work independently in performing needed administrative tasks in support of our Flight Branch. The ideal candidate will be organized, demonstrate an understanding of "need-to-know" and practice discretion at all times, and demonstrate flexibility in being able to adjust to meet changing requirements and demands to execute the mission.

Job Duties:

    Works independently to provide administrative and secretarial support of a responsible and confidential nature and performs document control and records management activities to help ensure the smooth functioning of the department. Duties require accuracy, judgment, a high degree of initiative, discretion, diplomacy, and knowledge of protocol. Anticipates changing priorities and problems. Adheres to and supports the use of company policies and procedures, and good industrial and office safety practices
  • Receives and screens phone calls directing them to the appropriate parties. Ensures coverage when absent.
  • Composes and distributes complex correspondence using standard word processing systems or other software applications. Keeps abreast of key issues, commitments, and priorities of management.
  • Researches information and compiles briefing charts, summary reports and other presentation materials.
  • Performs functions to track/assist employees in completing training requirements.
  • Coordinates proforma documents/forms with managers for acquisitions department.
  • Schedules meetings, appointments and coordinates travel arrangements as needed.
  • Maintains office supplies ensuring supplies are available when needed.
  • Collects, reviews, and distributes incoming hard copy and electronic mail. Independently handles mail not requiring the manager's attention. Reviews outgoing mail to ensure accuracy and proper format. Follows up to ensure action
  • Develops and guides the implementation of procedures and of filing and record-keeping systems, including performing data entry and records management function
  • Develop workflow charts to demonstrate and improve work processes including configuration management
  • Support personnel on-boarding (DD2875 and applications) and workstation equipment ordering for the branch
  • Support development of metrics to improve workflow, efficiency, and staffing
  • Maintain Sharepoint website for branch
  • Determines action on important or emergency matters or knows whom to contact in absence of manager.
  • Serve as building manager for office building as needed
  • Inventory of IT equipment in office buildings where Flight personnel are assigned
  • It is a condition of employment to wear PPE (Personal Protective Equipment) in accordance with supervisory direction and company policy
  • Perform other duties as required

Basic Qualifications:

  • High school diploma or equivalent plus a minimum of six years of applicable experience or any equivalent combination of applicable education and experience.
  • Must be able to obtain and maintain a Department of Defense Secret level security clearance and access to the AEDC local area network.
  • Due to Air Force Security requirements, U.S. Citizenship is required for employment at AEDC.

Preferred Qualifications

  • Strong organizational skills, initiative, flexibility, and discretion.
  • Excellent oral and written communication skills.
  • Demonstrated typing skills and intermediate experience with Microsoft Products including Word, Excel, Powerpoint, and Access.
    • Experience in building data driven charts in Powerpoint.
    • Experience using Excel beyond basic data accumulation, including utilization of macros, formulas, and the like in developing tools and charts to track information.
  • Demonstrated command of the English language including grammatical rules, spelling, punctuation, and required formats.
  • Ability to obtain a BNH purchasing card.
