Summary

The role involves overseeing the Interiors Project Portfolio and the Operations Team, ensuring seamless execution of interior space projects ranging from enterprise efforts to facilities-directed initiatives and internal customer requests. This requires effective project management skills, transparent intake processes, and clear, consistent communication with clients and stakeholders. The position demands weekly coordination across various teams including trades, events, restaurant operations, security, and many others.

In addition, the role also includes CAFM (Computer-Aided Facility Management) Product Ownership, involving strategic vision, technical knowledge, and communication skills to ensure the CAFM system continuously adds value to the organization. The role also involves analyzing workspace utilization data to optimize space planning, developing and maintaining key performance indicators, and producing insightful reports.

Primary Duties and Responsibilities

Oversee Interiors (Relocation) Project Portfolio and Operations Team

  • Plan, prioritize, and oversee execution of a portfolio of interior space projects, including enterprise efforts, facilities-directed projects, and internal customer requests.
  • Effectively manage project requests through a transparent and simple intake process.
  • Provide clear and consistent communication to clients and stakeholders throughout the project. Includes weekly coordination across multiple teams including trades, events, restaurant operations, security, and others.
  • Leadership and Management: Lead, mentor, and manage the Operations team to ensure effective delivery of all operational objectives.
  • Resource Allocation: Allocate resources efficiently to meet current and future operational needs.
  • Enterprise Storage Allocation: Develop and administer cost effective and efficient storage space planning strategies to meet the dynamic and evolving needs of the enterprise.

CAFM (Computer-Aided Facility Management) Product Ownership

  • As Product Owner of the CAFM system, ensure that the system not only meets the current operational needs but also evolves to continuously add value to the organization. The role requires a blend of strategic vision, technical knowledge, and strong communication skills to successfully manage and improve the CAFM system.
  • Direct and oversee ongoing maintenance and improvement of the CAFM system, including backlog management, sprint planning and review with internal and external technology support teams, issue management, documentation and training, user feedback, and performance monitoring. Manage the work of the business-side CAFM System Administrator(s).
  • Training and Support: Provide training and support to end-users and resolve any issues related to the CAFM system.

Workspace Optimization: Analysis & Reporting

  • Using data from multiple sources, including CAFM system, analyze and report on workspace utilization. Develop and maintain dashboards and reports to visualize key metrics and insights.
  • Define and regularly update key performance indicators related to workspace utilization, including occupancy rates, space allocation measures, and average space per worker.
  • Collaborate with peers to optimize space planning based on data insights.

Additional Responsibilities

  • Technology Strategic Planning: Develop and maintain the division's technology strategy roadmap, ensuring alignment with the team's objectives and goals.
  • Process Improvement: Continuously evaluate and improve processes, protocols, and methods to enhance efficiency and productivity.
  • Vendor Management: Engage with third-party vendors to secure services and technologies, manage contracts, and oversee service delivery.

Qualifications

  • Bachelor's Degree with an emphasis in Business, Project Management or related field preferred OR a significant amount of directly related work experience beyond the minimum required for the position.
  • Minimum 8 years of progressively responsible experience, including a mix of people leader, process and project management experience to include analysis, documentation and experience leading complex, large-scale projects/programs.
  • Demonstrated superior people leadership, management, human relations and interpersonal skills necessary to directly lead and develop teams.
  • Ability to work with general direction to scope, plan and manage cross-department or multi-department projects.
  • Demonstrated experience in business processes such as planning, budgeting, staff management, and executing systems and procedures.
  • Ability to prioritize work and handle multiple tasks simultaneously, work under pressure and meet tight deadlines.
  • Superior written and verbal communication skills with ability to build rapport, negotiate and gain acceptance at all levels.
  • Strong analytical skills and commitment to customer service excellence along with sound decision making skills and the ability to function in an immediate needs' work environment when appropriate.
  • High degree of personal initiative and motivation.

Pay Range - Start:

$84,350.00

Pay Range - End:

$156,650.00

Northwestern Mutual pays on a geographic-specific salary structure and placement in the salary range for this position will be determined by a number of factors including the skills, education, training, credentials and experience of the candidate; the scope, complexity as well as the cost of labor in the market; and other conditions of employment. At Northwestern Mutual, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. Positions in certain locations (such as California) may provide an increase on the standard pay structure based on the location.
