Description

Position Title: Junior HR Specialist

Department Name: HR Department

Position Reports To: Sr. HR Specialist

FLSA STATUS: Exempt

Salary Range: $68, 640 - $70,000

Benefits: The University's comprehensive benefits program


Days & Hours: Monday through Friday, 37.5 hours per week. Standard work schedule is 9:00 am to 5:30 PM, may be adjusted. Flexible schedule may require evening and weekend hours during peak periods.

This is a hybrid position, combining remote work flexibility with on-site collaboration to support both strategic initiatives and employee engagement efforts

BASIC FUNCTION AND SCOPE OF JOB:

The Junior HR Specialist will support the HR department in various administrative and operational tasks. This role involves assisting with recruitment, employee onboarding, maintaining employee records, and ensuring compliance with HR policies and procedures. The Junior HR Specialist will also provide support in employee relations and contribute to a positive work environment.

ESSENTIAL FUNCTIONS:




  • Assist in the recruitment process, including posting job openings, screening resumes, and scheduling interviews.
  • Support the onboarding process for new employees, including preparing orientation materials and conducting orientation sessions.
  • Maintain accurate and up-to-date employee records in the HRIS system.
  • Assist in the administration of employee benefits programs.
  • Respond to employee inquiries regarding HR policies, procedures, and programs.
  • Support the HR team in organizing employee training and development programs.
  • Assist in the preparation of HR reports and metrics.
  • Ensure compliance with labor laws and company policies.
  • Filling out EDD Unemployment forms and submit in timely fashion.
  • Conducts wage surveys within labor market to determine competitive wage rate.
  • Prepares employee separation notices and related documentation, and conducts exit interviews to determine reasons behind separations.
  • Provides backup support for Payroll Manager in calculating and tracking employee record changes related to issuing payroll checks via Payroll system
  • Provides backup support for Benefits Manager in Paying bills during their absences.
  • Participate in HR projects and initiatives as needed.
  • Other duties as assigned


Qualifications

QUALIFICATIONS:




  • Education requirement:

    • Bachelor's degree in human resources, Business Administration, or a related field.


  • Years of experience:

    • 1-2 years of experience in an HR role or internship.


  • Knowledge of:

    • HR principles, compliance and practices.


  • Direct job-related requirements:

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
    • Paycom and Oracle proficiency is preferrable but not required




  • Skills and abilities:

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
    • Strong organizational and time management skills.
    • Excellent communication and interpersonal skills.
    • Ability to handle confidential information with discretion.
    • Detail-oriented and able to work independently.
