Summary The Lease Accounting Assistant is a hybrid role that includes duties in support of the Lease Administration, Accounts Payable and Property Accounting teams. The position is responsible for a variety of tasks including tenant billings, cash receipts, accounts receivable and general ledger review. This position reports to the Manager of Lease Administration & directly supports the Property Accounting team. Essential Duties and Responsibilities
- Provide support to Lease Administration to include:
- Prepare & enter monthly tenant charge back billings including utilities, repair orders and other charges as directed
- Create and send monthly invoices and supporting documentation to tenants via email
- Review general ledger for accurate invoice coding as related to operating expenses, taxes and insurance
- Communicate with Property Management, Accounting and Lease Administration to resolve miscoded operating expenses
- Monitor real estate tax and insurance payments for tenant reimbursement
- Update monthly CPI data tables in Yardi
- Maintain tenant contact information
- Other duties as requested by Lease Administration team
- Provide support to Accounts Receivable to include:
- Monitor bank accounts for tenant payment activity
- Post cash receipts including lock-box, EFT, ACH accurately and timely
- Assist with rent collections and receivable reporting
- Provide support to Accounts Payable to include:
- Respond to vendor inquiries - payment confirmations/outstanding balance inquiries
- Enter real property tax bills into Yardi
- Follow-up with vendors on outstanding checks
- Provide support to Property Accounting to include:
- Assist property accounting team with areas including, but not limited to, insurance, real estate taxes & utilities
- Respond to inquiries from tenants, Legal, Property Operations and Accounting
- Assist Lease Administration, Accounts Payable and Property Accounting with special projects as requested
Qualifications
- Knowledge of general ledger, accounting and/or lease administrations practices
- Deadline focused, organized, possess problem-solving skills
- Well-developed analytical skills
- Effective communicator (both oral and written) with the ability to communicate with all executive levels both internal and external to the Company
- Ability to work effectively across multiple teams with changing priorities & balance conflicting interests
- Demonstrate high level of customer service and professionalism
- Detailed orientated with strong analytical skills
Education and/or Experience
- Bachelor's degree with an Accounting or Business concentration or equivalent work experience
- 1+ years of experience in Commercial Real Estate Accounting, Collections and/or Lease Administration
- Intermediate level knowledge of Excel
- Experience with Yardi preferred
Work Environment The position will work in a general office setting and may require travel, up to 10% of time annually, to remote office locations based on organizational/business needs. Physical Demands Must be able to remain in a stationary position for most of the workday, sitting at a desk, consistently operating a computer. The person in this position must be able to access file cabinets and office machinery (to include a computer, copier, and fax machine). On occasion, may need to lift boxes of up to 10 lbs.
