JOB SUMMARY This position will oversee the administrative functions of our fellowships. This candidate works in collaboration with the Manager of Education Programs with designing, implementing administrative/academic operations/activities for all facets of the department's education programs. Supervise, train, and develop program coordinators' skills and abilities to successfully execute and support programs. Interprets various regulatory requirements, e.g., ACGME, ABOG, AAGL, etc. Provides backup coverage to programs in the absence of the manager and program coordinator. Other duties as assigned. JOB DUTIES
- Supervise clerical and administrative support staff; interviews, hires, mentors, & counsel employees. Oversees training and orientation of staff; determines work priorities; evaluates work progress. Prepares annual staff performance appraisals.
- Develop and oversee budgets related to education office, including approving expenditures and preparing summaries of financial operations. Obligates and tracks expenditures for educational programs, committing funds for program operations, including salaries/stipends and other operational costs. Responsible for cost distribution of stipend and operational funding between institutions.
- Designs evaluations for program & create programs to interpret results. Creates advertisements for programs and monitors their publication. Represents the programs at local and national meetings.
- Coordinates, supervises, and administers operations of programs as applicable. Responsible for managing clerical/administrative operations and workflow for maximum efficiency and utilization of resources.
- Creates, reviews, and maintains policies and procedures in accordance with university and accrediting agency standards to ensure compliance. Interprets policy for faculty, staff, residents, fellows, and students.
- Oversees the maintenance of records and documentation of activities of program participants. Prepares complex reports and surveys for university administration and/or accrediting agencies regarding statistical information on education programs within department or unit.
- Researches, understands, communicates, and ensures compliance with applicable laws, regulations, policies, and procedures. Implements as required.
- Process on-line forms for payroll, vacation/sick leave requests, malpractice insurance payments, supply ordering, and/or other operations needs.
- Performs other duties as assigned.
