The Assistant Rental Coordinator serves as a liaison in supporting the Rental Coordinators, Equipment Yard, and our rental customers. Responsibilities include responding to customer walk-in or call-in inquiries to determine customer rental needs, reviewing rental rates, and escalating complex customer requests and contract negotiations to the Rental Coordinator, as needed. This active role requires consistent communication and support in the yard and shop to include inspecting machines and attachments upon customer return, scheduling transportation for equipment, and utilizing Rental software to ensure accuracy, efficiency and customer satisfaction in the equipment rental process. ESSENTIAL FUNCTIONS: Safety
- Actively cares, promotes, manages, and advocates safety at Western States. As a leader and team member in the organization, it is critical to ensure all employees, vendors, and clients have a safe work environment while adhering to all applicable safety policies, procedures, and standards.
- Maintains clean/clutter free personal work areas to ensure safe environments for all WSECO employees.
- Adhering to required personal protective equipment (PPE) as identified in safety policy.
Rental Counter Support
- Assist Rental Coordinator with rental customer calls and walk-in inquiries for equipment requests.
- Serve as a hands-on concierge for will calls, escorting customers into rental yards while adhering to customer safety standards.
- Ensure all store transfers and Equipment Movement Records are complete for both inbound and outbound transactions.
- Assist Rental Manager with audits and inventory management to ensure accuracy.
- Assist with daily invoicing tasks.
- Collaborates with the yard attendant to ensure rental contracts are written timely and efficiently, inspecting machines and attachments upon customer return, as needed.
- Assists with any issues or concerns related to equipment rentals, including equipment malfunctions and customer complaints.
- Escalates negotiations for rental rates and pricing to the Rental Coordinator to achieve The Cat Rental Stores desired market share and profitability
- Conducts Return to Rent/will call inspections and communicates logistics to our transportation vendors, when needed.
- Assist with maintaining showroom cleanliness and display.
- May accomplish training and serve as a team member in support of Western States' strategic programs, projects, and initiatives.
- Works within and promote corporate vision, mission, and values of the organization.
- Performs other duties as assigned.
SKILLS, KNOWLEDGE, AND ABILITIES:
- Strong organizational and multitasking skills.
- Excellent communication and customer service abilities.
- Attention to detail and ability to handle multiple tasks efficiently.
- Ability to work collaboratively with team members.
- Must be a self-starter with the ability to work with little to no supervision.
- Knowledge or ability to learn Rental software.
- Proficient in the use of Microsoft or other comparable systems required.
- Consistent attendance.
EDUCATION AND EXPERIENCE:
- Proof of high school diploma or General Education Degree (GED).
- Minimum one year customer experience and logistics in similar roles required.
- Six months construction or rental industry experience preferred.
- Must be able to communicate (speak, read, comprehend, write in English).
PHYSICAL CHARACTERISTICS:
- Ability to stand for long periods of time along with walking, sitting, repetitive climbing stairs, reaching (including but not limited to above-shoulder reaching), repetitive bending, stooping, pushing, pulling, leaning and twisting.
- Ability to lift up to lift 60lbs. in accordance with Western States' Lifting Policy to include amount and approach.
- Must be able to meet all safety requirements for applicable safety policies.
