Description
Echelon Services is seeking a Program Administrative Assistant to provide various services, including responding to basic program inquiries via email and phone, creating and distributing program communications, performing data entry, reviewing program applications, and preparing supporting documentation. The Program Assistant may be required to work independently on projects that involve research and the preparation of briefing charts and other presentation materials, as directed by the Program Office Staff, while ensuring compliance with regulations and effectiveness in achieving intended objectives. Responsibilities:
- Type and track correspondence, reports, and tabular data from drafts provided by professional personnel, editing for spelling, punctuation, and grammar and ensuring formats comply with the outlined requirements.
- Communicate messages, answer telephones, take and forward messages, and assist staff with follow-up phone calls on outstanding documents/actions.
- Duplicate, collate, assemble, and maintain materials.
- Coordinate and monitor meetings, appointments, schedules, and facilities as requested, as well as provide direct support for presentations, conferences, events, and other meetings as requested.
- Maintain hard copy, electronic filing, and record-keeping systems to facilitate retrieval and historical record maintenance as required by the client or other pertinent entities.
- Maintain a filing and management system by standards. Ensuring that classified information arriving in the office is accounted for and stored appropriately.
- Prepare entries and input, track and monitor data for inclusion in various information systems, for both agency-specific systems.
- Understand and follow administrative protocols followed by staff within the work group orders.
- Perform evacuation responsibilities as a result of fire or other natural disasters.
Qualifications:
- 5 years of relevant experience with a high school diploma or equivalent or a bachelor's degree with one year of relevant experience
- Active Secret level DoD security clearance
- Strong writing skills, ability to perform entry-level program analysis, organizational skills, database and system administration, and intermediate skills in Microsoft Applications (Word, Excel, Access, PowerPoint, and Publisher)
Work Location
- This is an on-site position located at the Naval Yard in Washington, DC.
Physical Requirements This position requires the ability to perform sedentary work, primarily sitting at a desk for extended periods with frequent breaks, while utilizing a computer keyboard and mouse for repetitive hand movements
