I. JOB OVERVIEW


Job Description Summary:
The Milken School of Public Health is seeking to hire the Associate Director of Admissions. The Associate Director will provide oversight of application management, data analysis and system management for the Graduate Admissions Office. This position will report to the Director of Graduate Admissions.

Responsibilities Include:
Slate Management:

  • Lead the Slate implementation for GWSPH, ensuring successful deployment by Summer 2025.
  • Oversee the development of reports, processing capabilities, and infrastructure within Slate, with a preference for candidates experienced in implementing a Slate instance.
  • Manage all aspects of the implementation, including attending weekly Slate meetings and coordinating deliverables.
  • Collaborate with team members to develop Slate functionalities related to financial aid, communication plans, and other critical areas.
  • Migrate all Salesforce Marketing Cloud communications into Slate.
  • Ensure operational, financial, and communication plans are seamlessly integrated into Slate and aligned with campaign and communication schedules.
  • Provide Slate training and onboarding for GWSPH Admissions team members before launch.
  • Ensure all reporting and processing capabilities from Salesforce and SOPHAS are fully migrated and incorporated into the new Slate system.
  • Think strategically about reporting functionality that should be available or updated utilizing Slate and create and bring plans to fruition.


Application Management:

  • Process application and decision data feeds on a weekly basis for on campus and online
  • Manage admission process for doctoral, masters, and undergraduate students: application completeness, assignment to faculty, auto standards review, offer alert, letter generation, applicant response/student activation in Banner
  • Manage and maintain daily operations of the Admissions Office by establishing procedures for processing applications; interpret, execute, and implement school admissions policies and procedures
  • Work with Admissions Committee representatives and faculty readers to ensure timely review of application
  • Liaise with online vendor to ensure timely review of applications, proper functioning of data feeds, and any other issues that may arise; act as a backup for GWID generation and/or running the data feeds
  • Supervise the processing and evaluation of international applications; the compliance with visa and immigration procedures and the issuance of l-20s for new international students
  • Oversee the audit for all conditional admits ensuring compliance.
  • Work with the School of Medicine to design, implement, and manage the application process for the MD/MPH and MD/Certificate in Public Health students.

Data Analysis:

  • Create and run DataMart and Salesforce reports regularly for Director, as well as Deans or faculty as necessary; assist Director of Graduate Admission in managing admission data and analyzing data for results and trends
  • Build queries and reports as needed to aid the school in its recruitment efforts and goals.
  • Collect, collate and present admitted and decline student survey data.
  • Provide benchmarking research to ensure program competitiveness; keep current on admissions trends and issues and policies related to higher education and public health to help inform strategic admission plans.

System Management:

  • Act as project manager for implementation/upgrade related projects, coordinate testing and assist in preparation of procedural documentation
  • Oversee Banner and CRM management of records, including ensuring that students are properly entered, updated, and charged appropriately and in a timely manner
  • Manage content in SOPHAS designation portal and WebAdmit, Data Transfer updates, and Salesforce; handle annual designation and header updates; serve as primary liaison to DIT
  • Devise strategies to coordinate campus Salesforce with the online vendor's Salesforce to better share information
  • Provide continuous improvement to maximize efficient workflow and process of CRM and data management
  • Research and coordinate the application of new and emerging technologies for possible use in admission and enrollment

Other:

  • Management: directly manage the Assistant Director of Admissions and operations GAs
  • Serve on campus-wide committees for recruitment and retention of International students (!RAST (International Recruiting and Strategy Team) and CISS (Committee for International Student Success)
  • Serve as the DIT (Department of Institutional Technology) liaison for UAT (User Acceptance Testing)

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 5 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study plus 3 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:
Preferred Qualifications:

  • Slate Experience (ideally as administrator). Experience implementing Slate at a college, university or individual school preferred
  • Salesforce Experience (ideally as administrator)
  • Experience with any or all of the following: Pardot, Axiom, Banner, DataMarts, DataTransfer, SOPHAS or other Liaison CAS System
  • Project management experience

Hiring Range $64,483.58 - $88,679.60
