Position Information
This positon is an 8 hour/day position, scheduled to work 260 days per year, assigned to support the Office of Educational Services and the Office of Educational Equity. Nature of Work Incumbents are responsible for providing advanced administrative services to a department or director requiring a broad knowledge of the assigned department/division. Responsibilities may include: collecting, reconciling, maintaining, and submitting complex data; monitoring technology, financial, or related systems or processes; reviewing project timelines and identifying issues; maintaining department or director's calendar; preparing statistical, technical, or related reports; preparing meeting agendas and taking official meeting minutes; and planning and coordinating events. Typical Class Responsibilities
- Performs support duties including: scheduling appointments and maintaining calendars for supervisor and/or department activities; preparing meeting agendas, notes, and correspondence; making travel arrangements; and assisting with employment related inquiries, background checks, and related employment processing activities.
- Initiates, processes, and reviews routine and/or specialized paperwork, forms, reports, and/or confidential information related to assigned area of responsibility, ensuring completeness and accuracy of information.
- Prepares collects, enters, and/or maintains a variety of information into applicable documents, spreadsheets, and databases; extracts, reviews, sends, and receives information to/from internal and external systems and parties in assigned area of responsibility; may set up administrative access/rights to systems; and may provide support resolving technical system issues
- Creates purchase orders; assigns and monitors coding for billing; orders and maintains office inventory and supplies; tracks orders; tracks spending and expenses; assists with program related budget management and may review and assist with the monitoring and processing of payroll.
- Conducts a variety of routine and/or specialized projects in assigned area of responsibility, including planning related events.
- Performs other duties of a similar nature or level.
Functional Responsibilities
- Assisting in the communication of policies, procedures, and compliance information.
- Assisting in the preparation, processing, and monitoring of staff, union, and other contracts.
- Maintaining and updating intranet staff information in areas of assignment.
Training and Experience Requirements High School diploma or equivalent (G.E.D); and 4 years administrative support experience. Knowledge Requirements

Physical Requirements Positions in this class typically require: reaching, standing, walking, fingering, grasping, feeling, talking, hearing, seeing, and repetitive motions. Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Walking and standing are required only occasionally.
