Job Summary:

Tesco Controls LLC (TESCO) sells automation and control solutions in support of the water/wastewater market. This market functions within the A/E/C industry for both public works and private works sectors. The qualified candidate will be working as a Bid Analyst for the Inside Sales team in the Sales Department, supporting our bid estimating process. Under some supervision, this role will provide administrative support to the Estimating Sales team by: qualifying sales opportunities/projects, coordinating project requirements with our sales teams and vendors, tracking pursuits, supporting the quoting/proposal process, coordinating information required for qualification documents and registration/application forms, facilitating contract administration, conducting research, taking ancillary calls and coordinating calls as needed (including call transfers and call triage), and performing office administrative tasks such as data entry, filing, copying, compiling information, document custodianship, running reports, status updates, etc. This role involves extensive digital document compilation, digital document processing, digital file management, printing of documentation, and coordination of project requirements between participating stakeholders.

Requirements

Essential Functions:

  • Using subscription website services, review project information for Sales Estimating Team purposes (including identifying projects/opportunities related to Company's products and services, downloading files, organizing files on network drive structure, assimilating information, combining PDF files, printing, data logging, and project tracking).
  • Identify key documents and drawings. Extract pertinent project information for sales team's estimating purposes, data tracking into databases, and vendor coordination purposes.
  • Gather and organize electronic versions of documents, such as PDFs, MS Word documents, compilation of schematics, specification documents, summaries, photos, vendor quotes, and other information. Coordinate this information with sales team and other departments as necessary to facilitate the estimating process for bids and proposals.
  • Process documents for easy consumption by team members and other departments, including optical character recognition (OCR) of plans, specifications, and other documents, highlighting information using color codes, bookmark information, and remove non-pertinent information.
  • Develop spreadsheets in MS Excel to organize and list equipment included within TESCO's scope of work specific to the bid pursuit. Identify the specified manufacturers/models and tag the applicable plan sheets and specification sections.
  • Copy and track bid results and bid sheets for sales meetings.
  • Enter bid tracking and sales pursuit data into company databases and other software systems.
  • Contract Administration: Coordinate the processing of Purchase Order/Contract documents, including proper filing (physical and digital), filling in document form information, general administration, and document management (including logging/ tracking, acquiring acknowledgements/ signatures, acquiring/ processing insurance certificates and other required documentation, processing into documentation systems, filing into project folders, and coordinating with customer needs).
  • Process requests for Insurance Certificate, Bid Bonds, and Payment/Performance Bonds, as needed.
  • Conduct internet research as needed to complete tasks.
  • Assist sales estimators as needed.
  • Other administrative duties: typing, filing, faxing, proof-reading correspondences, and ancillary administrative duties as assigned.
  • Interact with internal departments in a professional manner.
  • Interact with customers in a professional manner.
  • Assist in all customer related functions as requested.
  • Maintain the timely coordination of activities.
  • All other duties assigned.

Demonstrated Skills:

  • Proficiency with the use of computers.
  • An aptitude for office administration and business administration.
  • An understanding of sales processes, support for estimating costs/pricing, service offerings, project deliverables, and customer service.
  • Collaborate with the Sales Department team members for estimating/bidding and other sales activities.
  • Continuously learn and become progressively proficient with duties, along with proper application of duties.
  • Possess strong written and verbal communication skills.
  • Develop skill sets (soft and hard) for performing tasks and engaging with others.
  • Be willing to adapt duties to the needs of a growing company.
  • Learning and adapting to the dynamic environments of the Sales Department, other departments, business processes, and our customers/clients.

Education & Knowledge:

  • Minimum High School Diploma or GED. Prefer Associates Degree (Business Administration desired, but applicable equivalent or others AA/AS degrees acceptable) or equivalent experience.
  • Must have strong computer use skills, including navigating within Microsoft Operating Systems and be extremely proficient (possess strong knowledge and experience) in using software applications such as MS Office (Word, Excel, Outlook); knowledge in OneNote and/or Access databases is a plus.
  • Excellent verbal and written communication skills required; expected to become involved in project related documents that internal and external customers will read.
  • High level of organizational skills a must.
  • Engaging customer relations and networking skills is a plus.
  • Basic understanding of TESCO technology.

Training Requirements:

  • TESCO general office safety training.
  • On the job training for job functions.

Physical Demands:

  • Regularly required to sit and work at computer station.
  • Occasionally required up to 20 lbs. (e.g. box of paper reams).

Work Environment:

  • Office Environment.
