Experience:
- Minimum of 2 years of general office experience required
- Minimum of 2 years of construction and/or real estate industry experience required
- Experience with contractor insurance preferred
- Experience with contractor and business licensing strongly preferred
- Basic accounting knowledge preferred
Skills, Knowledge & Abilities:
- High-level proficiency in MS Office including Excel and Word
- Knowledge of Adobe Acrobat and Sharepoint
- Knowledge in Yardi, desired but not required
- Excellent customer service and interpersonal skills

Essential Duties:
- As a primary role, provide Project Management support for resyndication/tax credit construction documents including updating, tracking and closeout documentation as directed by Project Manager.
- Provide Project Management support for the bidding process with distribution of bid documents to consultants/contractors.
- Tracking incoming bids and confirming all required documents are received from consultants/contractors.
- Assist with bid wash and scope finalization as requested by Project Manager.
- Requesting and tracking required contract documentation (insurance, licensing, certifications, etc.) at contract initiation/bid award.
- Provide Project Management support with the pre-contract submission process by managing contract requests submissions, finalizing draft schedule of values, and scopes of work initiated by Project Manager.
- Enter contract, purchase order and change order requests in Yardi to initiate the contract process.
- Assist Construction Management Administrative team with questions regarding contract requests.
- Assist with organizing and coordinating of meetings with Construction Management and associated departments.
- Assist Construction Management with permit application process from permit application, application tracking, issuance confirmations, and final permit closeout following final inspections.
- Assist with managing submittals and reporting documents from Construction Management to associated departments to include project design specifications, product submittals, updating insurance logs, etc. as directed.
- Assist Project Management with creation and distribution of notifications and marketing materials for Construction Management projects including floor plan layouts, marketing flyers, updated schedules, etc.
- Assist Director of Due Diligence and Project Manager with all aspects of Due Diligence to include scheduling, tracking and following up on contractor/consultant invitations, contractor proposals, and third-party reports.
- Assist with review of payroll and accounting reports as directed.
- Provide support of the Replacement Reserves process including coordinating onsite inspections, preparing of inspection materials such as capital expenditures reports, preparing leak logs, and assisting with the Replacement Reserves worksheet review and updates.
- Perform Sharepoint document management and file organization to include periodic audits and reports.
- Assist Project Management with project closeout documentation (warranties, O&M manuals, etc.) verification and recording of lender immediate needs as well as other applicable documentation for sales.
- Participate in company required training by established deadline.
- Other duties and responsibilities as assigned by Project Management.
- Comply with all Fairfield standards, applicable health and safety rules and regulations, as well as applicable local, state, and federal laws.
#LI-JULIA Estimated Rate of Pay: $28.05 - $36.46
This position is non-exempt; the range above reflects hourly rates. The pay range displayed for this position is determined by skills and experience required, location and job complexity*. Potential job offers may vary based on the skills, education, and experience an individual candidate holds. This range reflects base rate only, and does not include allowances, perks, commissions or bonuses applicable to this position (if any).
