About the Job

Position Overview
This role is responsible for administering, developing, and managing programs that support faculty endeavors within the School of Physics and Astronomy. Responsibilities include faculty hiring, promotion, awards, leaves, sabbaticals, and retirement, as well as handling sensitive inquiries and human resources functions.

Primary Responsibilities
Academic Affairs (45%)
Faculty Hiring and Recruitment
* Manage hiring and recruitment for faculty in key research areas.
* Coordinate applicant evaluations with search committees and faculty.
* Oversee onboarding for new faculty members.
Faculty Promotion and Tenure
* Advise faculty on promotion and tenure regulations and procedures.
* Coordinate and review promotion dossiers.
Faculty Annual Performance Updates
* Manage and process annual performance updates for 59 faculty members.
Faculty Awards
* Identify and support faculty nominees for awards.
* Track award deadlines and faculty eligibility.
* Assist in nomination submissions.
Faculty Retirement
* Advise faculty on retirement policies and required procedures.
Handling Complex Situations
* Address confidential and sensitive inquiries related to faculty and school administration.
* Serve as a resource for resolving complex issues beyond standard administrative staff duties.

Human Resources (50%)
HR Oversight and Compliance
* Develop and implement HR policies, ensuring alignment with University, state, and federal regulations.
* Maintain historical HR records.
* Provide guidance on HR policies and procedures.
Position Management
* Coordinate hiring for various employee categories, including faculty, researchers, staff, and student employees.
* Align job descriptions and staff goals with the School's strategic objectives.
* Develop short- and long-term HR strategies.
HR Consultation and Policy Administration
* Advise leadership, managers, and employees on HR policies and best practices.
* Ensure consistency in policy interpretation and administration.
* Provide support on staffing, classification, compensation, and affirmative action issues.
Performance Evaluations
* Coordinate performance evaluations for approximately 230 employees.
* Communicate evaluation requirements and oversee the process.
Employee Promotions
* Guide the promotion process and address related HR inquiries.
* Prepare salary justifications.
Employee Relations and Performance Management
* Investigate and resolve employee performance issues in collaboration with the College of Science and Engineering (CSE) HR department.
* Lead investigatory meetings and disciplinary actions.
* Represent the School at hearings.
Layoffs and Terminations
* Advise supervisors on layoff procedures, compliance, and severance policies.
* Ensure accurate documentation and coordination with relevant departments.
Visa and Immigration Support
* Advise on visa and permanent residency processes for faculty, employees, and visitors.
* Manage J-1, H-1, and permanent residence visas.
* Collaborate with International Student and Scholar Services to assist international scholars and student

Professional and Technical Knowledge Development (5%)
* Stay updated on HR policies, employment laws, and visa regulations.
* Engage in relevant courses, webinars, and newsletters.

Key Competencies and Skills
* Strong knowledge of University, state, and federal HR policies.
* Expertise in faculty affairs, recruitment, and employee relations.
* Ability to handle sensitive and confidential matters with discretion.
* Strong organizational and problem-solving skills.
* Excellent communication and advisory capabilities.

Qualifications

Required Qualifications
* BA/BS degree with at least 6 years of experience.
* Ability to lead a small homogeneous department or a larger process-oriented area.
* Proficiency in Microsoft Office and Adobe applications.
* Familiarity with employment law.

Preferred Qualifications
* BA/BS degree in Human Resources or a related discipline
* Experience working in a labor-represented environment.
* Experience in higher education administration.
* Knowledge of PeopleSoft and HRTS4 (data warehouse).
* Familiarity with University of Minnesota policies.

Pay Range: $86,000 - $115,000, depending on education/qualifications/experience

Time Appointment: 75%-100% Appointment
