Purpose
This position contributes to the company success by providing administrative and project management support to US based R&D team members. Candidate must be able to work a hybrid model out of our Cary, NC office.
Main Responsibilities
- Acts as a point-of-contact for internal stakeholders and external vendors.
- Provides full and diversified administration support to US based Corporate team members (e.g., GRA, QA, GTD, GPV, and GMD Affairs).
- Assist in forecasting and budgeting for the R&D departments.
- Initiates and coordinates contract review, tracking and approvals.
- Manage conference registration and coordination details
- Creates and executes contracts and cross-border agreements alongside compliance.
- Manage and maintain schedules, appointments, and travel arrangements for the departments.
- Code monthly invoices, route to GCN, and submit monthly accruals.
- Act as primary user of contracts systems for assigned R&D departments.
- Create Purchase Requisitions and Services Entry Sheets in SAP.
- Complete monthly open Purchase Order reports (e.g., Accruals in SES format).
- Provide back-up support for identified R&D processes (e.g., unblinded safety submissions).
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
- Create and implement consultant policies for bulk contracts.
- And other activities as assigned
- Coordinate and support meetings as requested (On-site and Off-site).
- Manage ground transportation for team members
- Prepare expense reports for applicable P-card use (e.g., group caterings, restaurant reservations, group transportation, etc.)
- Act as local liaison/contact for R&D team members engaged in "long-term assignment" in US
Experience Required
- 1+ years relevant experience, pharmaceutical industry preferred.
- Proficiency in all MS Office applications, including Outlook, Excel, Word and PowerPoint, as well as Adobe.
- SAP experience preferred
- Must have exceptional verbal and written communication skills
- Ability to prioritize tasks, manage and maintain a professional, friendly, and efficient operation at all times.
- High degree of collaboration, flexibility, and loyalty.
- Superior communication skills coupled with the ability to work in a fast paced, changing environment and multi-task effectively.
