Job Scope

As an Administrative Assistant & Receptionist at Diasorin, you will be the first point of contact for employees, visitors, and stakeholders, ensuring a professional and welcoming experience. This role is critical in maintaining office efficiency and supporting business operations through administrative and clerical responsibilities. You will handle a variety of tasks, from coordinating meetings and managing correspondence to assisting with travel arrangements and office logistics. The ideal candidate is a proactive and highly organized professional with strong communication skills and a customer-focused mindset.

Key Responsibilities:

Reception & Office Coordination:



  • Serve as the primary point of contact for visitors, vendors, and employees at the front desk, ensuring a welcoming and professional environment.
  • Manage incoming calls, emails, and inquiries, directing them to the appropriate personnel.
  • Maintain office security by following safety protocols, monitoring visitor access, and managing badges.
  • Ensure the reception area, meeting rooms, and shared office spaces are clean, organized, and well-stocked with necessary supplies.


Administrative & Executive Support:



  • Provide administrative support to leadership teams, including calendar management, scheduling, and document preparation.
  • Coordinate meetings, including room reservations, catering, and preparing meeting materials.
  • Assist with travel arrangements, expense reporting, and logistics for employees and executives.
  • Manage incoming and outgoing mail, shipments, and office correspondence.


Business Operations & Process Support:



  • Maintain and update databases, contact lists, and internal documents.
  • Assist in organizing company events, team-building activities, and employee engagement initiatives.
  • Support HR and other departments with onboarding, training materials, and compliance documentation.
  • Assist with processing invoices, tracking office expenditures, and managing vendor relationships.


Technology & Communication Support:



  • Utilize office software (Microsoft Office Suite, SAP, SuccessFactors, Concur, etc.) to support administrative tasks and data management.
  • Act as a liaison between employees and IT for minor technical support and troubleshooting.
  • Prepare reports, presentations, and internal communications as required.


Education, Qualifications & Skills:



  • 3-5 years of Administrative Assistantexperience with increased responsibility and cross-functional support.
  • High school degree required or Associates in Business Administration preferred
  • Professional demeanor and ability to handle confidential information with discretion.
  • Experience in the medical device, healthcare, or biotechnology industries is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other business applications.
  • Experience with SAP, Concur, SuccessFactors, or other enterprise systems is a plus.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities, with the ability to multitask and prioritize in a fast-paced environment.
