JOB SUMMARY The Talent Assistant role is crucial in fostering a productive and organized Talent Team; the incumbent is responsible for ensuring smooth operations related to all of their general administrative tasks. This includes ensuring data entered into the HRIS is accurate, managing employee records, managing communication and subsequent actions related to Talent email boxes, preparing/distributing reports and supporting various Talent initiatives and projects. DUTIES 1. Coordinate the new hire administrative process including all associated electronic/paperwork and data entry relating to new hires, terminations, temp conversions, personal information changes, etc., ensuring accuracy and completeness when entering changes into the HCM system.
2. Create and distribute weekly and monthly reports such as NEO/NMO, New Hire, Termination, Talent Metrics, Open Req, etc. 3. Provide administrative support to the Talent Acquisition & Management staff, including creation of EAFs, various letters/correspondence, data entry into HRIS. 4. Coordinate Talent updates on MultiVerse such as Policies & Procedures, Labor Condition Applications, Talent forms, etc. 5. Manage and/or maintain all TAM inboxes, data entry folders & files o Assess whether emails need to be forwarded to another associate for processing or, if not, process the request directly. o Manage Data Entry folder to ensure EAFs are processed on time. o Manage/Approve ADT requests for new hires, terminations, transfers, promotions and name changes as well as closing arrival tickets and entering new hires' EE ID #'s in ServiceNow. o Maintain all associate files 6. Coordinate new hire processes including: o I-9 form & E-Verify process. o Send new hire welcome emails, etc. 7. Assist TBP with coordinating exit process o Send the exiting associate a link to the exit interview database along with benefit conversion information. o Coordinate exit interview for the Talent Business Partner. o Coordinate with IT regarding laptop collection o May assist with RIF paperwork preparation 8. Manage the employment verification process in response to external information requests from outside organizations as well as employment letters requested by existing employees 9. Support Talent Acquisition and Management staff and serve as a backup 10. Prepare and submit payments for legal filings, bonuses, etc. 11. Work on special projects and coordinate special events as assigned. 12. Collaborate, coordinate, and communicate across disciplines and departments. 13. Ensure compliance with HIPAA regulations and requirements. 14. Demonstrate commitment to the Company's core values. 15. Please note due to the exposure of PHI sensitive data -- this role is considered to be a high-risk role. 16. JOB SCOPE:
The incumbent works under indirect supervision to complete job responsibilities. Work may be complex. The incumbent must possess knowledge of best Talent practices and apply that knowledge, as well as knowledge gained through experience, towards the company's Talent administrative practices and procedures. The incumbent resolves varied issues and refers more complex issues to higher levels. COMPENSATION
The salary range for this position is $25-$29 per hour. Specific offers take into account a candidate's education, experience and skills, as well as the candidate's work location and internal equity. This position is also eligible for health insurance, 401k and bonus opportunity.
