We are looking for a Project Administrative Assistant for our Beaverton, OR office to provide administrative and project controls support for the delivery of construction projects. The Project Administrative Assistant will be responsible for assisting the Project Manager's in coordination, drafting, reviewing or recommending any project control related documents as required by the project. This role will also maintain and provide progress reports to support project deliverables, ensure proper document control procedures are strictly adhered to; drive quality documentation standards as well as ensuring that all aspects of our services are being delivered to the highest level to guarantee client satisfaction.

Duties and Responsibilities

  • Work collaboratively with project stakeholders to support project coordination and documentation.
  • Assist the Project Manager in all phases and aspects of the project.
  • Provide administrative support to field staff.
  • Obtain and maintain all required documentation as per the contract.
  • Ensure timely reviews for all RFIs and Submittals, including coordination with engineers.
  • Provide administrative support for change order documentation.
  • Ensure file management protocols are followed.
  • Assemble the close-out documents.
  • Address non-compliant contractors directly for compliance.
  • Prepare and communicate ad-hoc reports as required.
  • Follow the company's Best Practices.
  • Support subcontractor paperwork compliance and track open items.

Job Requirements / Qualifications

  • High school diploma or equivalent work experience required; associate's or bachelor's degree preferred.
  • 3-5 years of compliance-related experience in the construction industry.
  • Prior experience with City, State, and/or Government work.
  • Prior experience managing apprenticeship compliance and Section 179D-related documentation.
  • Ability to manage detailed processes and problem-solve quickly in a high-pressure environment.
  • Strong customer service background with proven customer satisfaction results.
  • Excellent verbal and written communication skills.
  • Familiarity with multi-state labor laws and compliance regulations.
  • Team interaction skills.
  • Comprehensive knowledge of Microsoft Office.
  • Ability to read, analyze, and interpret construction contracts, accounting statements, business publications, professional journals, and technical procedures.
  • Ability to read and interpret construction and technical documents (preferred but not required).
  • Experience with LCPtracker is a plus.
