POSITION SUMMARY: The Office Base Addiction Treatment Program (OBAT) team in Primary Care at Boston Medical Center (BMC) seeks a highly motivated individual to provide administrative and project support for the OBAT clinic. This position will include providing services in our OBAT clinic for individuals with alcohol use disorder. The Program Coordinator will provide administrative support including data collection and contingency management as well as other programmatic needs. Position: Program Coordinator OBAT Clinic Department: General Internal Medicine Schedule: Full Time ESSENTIAL RESPONSIBILITIES / DUTIES: Activities may include:
- Responsible for the administrative aspects of the OBAT clinic, including: managing program records and handling communication needs of the program.
- Educates participants about the program, their roles in the program, and any other vital information. Serves as a resource/case manager for the patients.
- Completes enrollment, quarterly, and disenrollment paperwork with patients, including explaining reporting requirements, and obtaining informed consent of subjects and/or their families.
- Schedules appointments for patients within assigned time frame and ensures patients are prepared for the visits; conducts reminder phone calls and/or sends mail communications.
- Reviews the data collection forms for each enrollee for completion and quality and performs data entry of data collection forms into secure database to ensure timely and accurate entry.
- Distributes compensation payment/vouchers to participants; maintains a log of payments made and receipts received. Oversees tools to monitor compensation and educates patients as needed
- Maintains weekly/monthly status reports on all participants regarding reporting requirements
- Supports other team members
- Coordinates with and supports the medical team on clinical, administrative, and psychiatric needs
- Participates in all grant meetings, tracking, and reporting,
- Communicates with the project administrator to ensure program needs are met in a timely fashion - requesting patient compensation as needed, troubleshooting computer problems, notifying when a patient is difficult to contact, etc.
- Participates in staff meetings/initiatives including appropriate quality improvement and education activities, or if unable to attend non-mandatory activities, accepts responsibility to review meeting minutes and becomes knowledgeable of issues discussed.
- Performs office-related duties such as answering phones, picking up and delivering mail, ordering and distributing office supplies, handling faxes, scanning, filing, photocopying, collating materials, maintaining the update of policy manuals, etc.
- Conforms to hospital standards of performance and conduct, including those pertaining to patient rights, so that the best possible customer service and patient care may be provided.
- Utilizes hospital's behavioral standards as the basis for decision making and to facilitate the hospital's goals and mission.
- Interviews and observes patients for program requirements and collects and analyzes data to validate eligibility and patient commitment. Enters responses and observations into computer database.
- Adheres to legal, professional and ethical codes with respect to confidentiality and privacy. Responsible for obtaining and maintaining all study certifications, including Human Subjects Certification.
- Participates in special projects as needed.
Performs other duties as necessary.
- Conforms to hospital standards of performance and conduct, including those pertaining to patient rights, to ensure the best possible customer service and patient care.
- Utilizes hospital's behavioral standards as the basis for decision making and to support the department's and the hospital's goals.
- Follows established hospital infection control and safety procedures.
- Performs other duties as needed.
- Must adhere to all of BMC's RESPECT behavioral standards.
JOB REQUIREMENTS EDUCATION:
- Bachelor's degree (or equivalent experience) in Human Services or related field is required
EXPERIENCE:
- At least two years experience with data collection software tools or experience in healthcare, medical or research environment.
- Previous clinical research or public health experience preferred.
- Experience with program evaluation and monitoring preferred.
KNOWLEDGE AND SKILLS:
- Strong proficiency with Microsoft Office databases and other applications (i.e. MS Word, Excel, Access, PowerPoint, Outlook) and web browsers.
