The University Library is seeking to hire an Administrative Officer on a full-time basis at our Atlanta campus. The Administrative Officer participates as a member of the University Library's senior leadership team in strategic and tactical planning. This position is responsible for the unit's financial and budget planning processes. The Library AO also manages the library's HR and Facilities teams. The scope of the responsibilities will include these essential duties, but is not limited to the following

Financial Leadership



  • Administers the University Library's annual budget, including state funds, sponsored grants, and foundation accounts.
  • Duties include budget forecasting, preparation of the annual operating budget, managing internal allocations, approval of expenditures, and tracking of budget amendments.
  • Supervises all budget and accounting functions, ensuring compliance with university policies and external funding regulations, including expenditure review processes.
  • Leads the fiscal year-end closeout process, ensuring that funds are optimally allocated and expended.
  • Oversee the financial administration of endowment and foundation accounts, ensuring proper allocation and expenditure.
  • Serves as primary grants officer for the University Library, overseeing financial planning and ensuring
  • compliance with grant and contract regulations, reporting requirements, and university policies.
  • Serves as the college's internal control officer, overseeing financial policies and risk management.


Human Resources Leadership



  • Provides oversight and coordination, through the Library HR Officer, of all faculty, staff and temporary/student human resource matters and payroll functions.
  • Functions included in HR operations are faculty and staff recruitment, promotion processes, faculty contracts, faculty and staff performance management, and payroll administration.


Facilities Leadership



  • Provides oversight, through the facilities coordinator, of day-to-day library facility matters on six campuses.
  • Serves as the Dean's proxy, as required, for renovation and construction projects.
  • Serves as the liaison between the University Library and external partners, including police/security and the cafe.
  • Manages the downtown library's visitor management system.
  • Strategic Leadership
  • Participates in strategic planning as a part of the University Library's senior leadership team.
  • Engages in continuous improvement of processes within the scope of the position.
  • Develops and administers policies and procedures in the University Library about finance and administration, human resources, and operations. Serves as the library's liaison both for operations within the library and with central university administration.
  • Performs additional duties as assigned.

Qualifications :

Minimum Requirements:



  • Bachelor's degree and six years of supervisory/management experience; or a combination of education and related experience.


Preferred Hiring Qualifications:



  • Master's degree in Business Administration or a related field.
  • Proven experience in preparing and managing budgets, including directing and approving expenditures and resource allocation.
  • Demonstrated ability to improve business processes and document workflows, with strong skills in problem analysis, option identification, and solution implementation.
  • Excellent verbal and written communication skills.
  • Proven track record of building and maintaining collaborative relationships.
  • Experience in team management, including hiring, evaluating, and coaching employees.
  • Experience with business processes in a higher education institution.
  • Proficiency in project management tools and methodologies.
  • Experience with data analysis and reporting, including proficiency in relevant software (e.g., Excel, SQL).
  • Ability to adapt to changing environments and manage multiple priorities effectively.
