Job Overview

As one of the oldest medical schools in the country, the UC College of Medicine has a reputation for training best-in-class health care professionals and developing cutting-edge procedures and research that improves the health and clinical care of patients. The Department of Family & Community Medicine has played a leading role in fellow, resident, and medical student education since 1974 and continues to focus on improving the health of members of our Cincinnati community and beyond, with a special focus on medically underserved patients. With faculty expertise in areas such as primary care research, palliative care, geriatrics, global health and integrative medicine, the department is advancing the college's commitment to cultivating learning environments, fostering research and scholarship, and providing innovative patient care.

University Health Services (UHS) seeks a full-time (1.00 FTE) program coordinator to work directly with UHS leadership and UC departments to achieve immunization and specific college program requirement compliance for all campuses.

The Program Coordinator will be supervised by the Business Administrator.This job has no supervisory responsibilities.

Essential Functions

Immunization Program Duties (Bearcat Health App):



  • Work directly with students.

    • To review and verify immunization records.
    • To provide clinical guidance and coordination regarding the international health screening process.
    • To provide the next steps for students involved in specialty programs (i.e. Animal Care and Use Program).


  • Work collaboratively with other University offices, colleges, and programs to ensure that the University policies and procedures are followed.
  • Assist with metrics and data reporting regarding group-level student compliance.
  • Respond timely to email, telephone, and in-person requests for information regarding compliance.
  • Assess existing systems for data accuracy and quality, including internal (e.g., UC Digital Technology, CATALYST, etc.) and external partners.
  • Update and maintain immunization forms.
  • Other duties as assigned.


Administrative Duties:



  • Maintain and update UHS website.
  • Participate in department committees and meetings.
  • Participate in student orientation sessions and presentations.
  • Order office supplies and other marketing items.
  • Assist Directors and Business Administrator with scheduling meetings, presentations, etc.
  • Other duties as assigned.

Required Education

  • Bachelor's Degree.
  • Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Required Experience

One (1) year of program coordination experience.

Additional Qualifications Considered

  • Experience in clinical ambulatory.
  • Ability to multi-task and work independently.
  • Ability to develop and maintain a highly organized, detail-oriented, work environment.
  • Experience in problem solving and analytical skills.
  • Effective communication skills using a variety of methods including, but not limited to written correspondence, orally, group facilitation, and peer interaction.
  • Possess competence with various office tools and resources such as Outlook, Excel, Word, and PowerPoint.
  • Proficiency with Electronic Medical (EMR) system, EPIC ideal.

  • Office environment/no specific unusual physical or environmental demands.
