The front desk Receptionist is responsible for receiving and addressing all business associates, applicants and visitors, responding to all incoming telephone calls and promoting a professional first image of Upsher-Smith Laboratories, Inc. Provides administrative support to the Facility Services Management team.

  • Answer Switchboard calls and transfer to appropriate party.
  • Greet Guests for Upsher-Smith Laboratories and Thrifty White Pharmacy (give badges for appropriate visitor activity. (Vendors, Contractors, Visitors).
  • Order Nameplates and mailbox tags for the building (onboarding).
  • Update Facilites occupancy when there is add, moves, changes desk assignments.
  • Daily checking of Faxcom Client for incoming faxes.
  • Fax request from Medical Information Contact Center for sending fax to MD office.
  • Monitoring for Facility Help Desk email requests.
  • Updating binder for Contractor Training forms and Facilities SharePoint Online Forms for same.
  • Updating the Plymouth Shift Contact list (online).
  • Updating Certificates of Liability of Insurance from Vendors. Paper file and Facilities online documents.
  • Post Holiday Closure Signs.
  • Post State Licenses.
  • Update Key Logbook activities (check out and returned).
  • Supports the Authorization Request Form (ARF) process by updating badge photos, phone ext. list, desk locations.
  • Deliver newspapers to lunchrooms and notify provider if not delivered.
  • Update/Upload contracts when received from Facilities Manager.
  • Create PR (purchase requisitions) when requested.
  • Update weekly facilities team On-Call changeovers in the phone system.
  • Send out facilities PTO & out of office requests to the team calendars
  • Update Front Desk Reference book when needed.
  • Assisting with catering when requested for departments.
  • Concur expense reports as a back-up for Facilities Manager.
  • Alert Facilities team member when outside flags need to be changed out.
  • When needed or requested for building paging alerts.
  • Order printer ink, visitor guest logbook, supplies, mints for facilities department.
  • Send messages to employees when their lunches/meals have arrived.
  • At 5:00 make sure lobby doors have locked.
  • Alert facilities team when building issues: water leakage, lights out.
  • Back-up for duties for the Facilities Administrative Assistant.
  • Update Facilities Team Sharepoint site when needed.
  • Plant locker updates for new employee's and/or removing terminated.
  • Sent out nameplates to SDDI Signs when they are running low on tags for printing for new/updates names.
  • Send internal mail stakeholder(s) mapping locations for mailbox tags when needed.

Requirements:

High School Diploma or equivalent. Previous office support experience with 2 years receptionist experience operating a multiple line phone system required. Post-secondary education in business preferred. SAP experience required.Demonstrated proficiency with MS Office 365 including Word, Excel, Powerpoint, Outlook and Teams. Must be able to present a professional image as the face of the Company. Demonstrated ability to handle difficult people in a calm and tactful manner. Ability to effectively prioritize and manage job interruptions. Ability to be discrete when exposed to confidential information. Excellent verbal communication, organizational and writing skills. CPR (Certified Professional Receptionist) preferred.

Constant sitting (95%) and occasional standing (5%). Constant talking, hearing, keyboarding and near vision. This is an onsite position.

Compensation Range:

$38,961.00 - $58,441.00
