THE POSITION

The Department of Health is looking for a highly motivated individual who pays impeccable attention to detail. We have an opening for a Clerical Supervisor 2 within the Bureau of Health Statistics and Registries, Division of Statistical Registries. This position supports the bureau's mission of managing statewide registries for vital events through supervising staff responsible for portions of the activities related to amending birth registry case records and onsite document management. DESCRIPTION OF WORK

In this position, you will oversee staff performing data intake activities for the birth amendment unit in the Bureau of Health Statistics and Registries by overseeing the processes for numerous allowable amendments to birth records and performing general supervisory duties. Work involves applying knowledge of relevant laws and policies to provide advice and counsel to consumers on the nuances of specific situations about allowable changes to a birth record and the legal requirements for each. This includes performing public relations duties through daily interactions with consumers via phone and email, addressing stakeholder complaints that cannot be resolved by subordinate staff, utilizing firm and appropriate people skills to de-escalate tense situations, and appropriately escalates exceptional issues as needed.

Your responsibilities will also include participating in quality assurance activities to improve quality of processes for corrections and amendments. Our team will rely on you to remain vigilant for the emergence of patterns, trends, or consistent problematic issues; assemble data about the type and amount of work performed; and complete daily production reports. You will also have the opportunity to participate in training events for identifying and responding to fraudulent requests, identifications, and documents. Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:30 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: This position will have two weeks minimum of mandatory on-site training. After this, you may have the opportunity to work from home (telework) part-time, two days at home (Monday & Friday) and three days in the office (Tuesday, Wednesday, & Thursday) per week. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Supervisor 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year as a Clerical Assistant 3 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Two years of as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • An equivalent combination of experience and training.
