Position Overview
Graduate Enrollment Management (GEM) reports to the Vice Provost for Enrollment Management. Enrollment Management (EM) includes the following functional units: Graduate Enrollment Management, Office of Undergraduate Admissions, Financial Aid and Scholarships, Student Lifecycle Technology, the Office of the University Registrar, and Enrollment Marketing Communications. The GEM unit collaborates closely with the Office of Graduate Studies and Academic Success to ensure that policies for graduate admissions are upheld, and that prospective students, applicants, and program faculty and staff are supported during the graduate application, admission, and new student enrollment process.

More than perhaps any other factor, the degree to which a university attracts and retains qualified students determines the success or failure of that institution. The EM division is a key player in this activity and has a profound effect on the institution's success. GEM provides expertise and support with recruitment, inquiry cultivation, application processes, credential evaluation, and admission for roughly 75 graduate departments. This includes guidance and support for domestic and international applicants to on ground, hybrid, online programs, and Competency Based Education (CBE)/Jayhawk Flex programs.

This position reports to the Assistant Vice Provost and Director of Graduate Enrollment Management. The primary responsibility of this position is to build relationships with prospects and applicants to meet graduate enrollment goals. The Graduate Recruitment Specialist plays a key role in attracting, engaging, and supporting prospective graduate students through a variety of personalized outreach, data-informed strategies, and coordinated events. The position leads recruitment and counseling efforts across multiple communication channels and technologies, while also serving as a connector between prospective students and academic or campus resources. The Graduate Recruitment Specialist delivers presentations, represents the institution at recruitment events, and contributes to onboarding activities to ensure a positive transition to graduate study. In addition to recruitment, the role supports GEM operations by responding to inquiries, participating in meetings and trainings, and assisting with special projects as needed.

Job Description
Graduate student recruitment and outreach (80%)
  • Lead and support efforts to recruit and engage prospective graduate students through personalized communication, strategic outreach, and event coordination.
  • Use data to inform recruitment strategies and contribute to marketing and communications initiatives.
  • Provide counseling on graduate program offerings and admissions processes through multiple channels including phone, email, text, and individual meetings, managed through enterprise recruitment, communication, and application systems (e.g., CRM, Chatbot, application system).
  • Connect prospective students to an academic unit of interest or service area (e.g., Financial Aid and Scholarships) to meet applicants' needs and set up appointments with other units as needed.
  • Represent the institution at various recruitment events and deliver group presentations to promote graduate study opportunities.
  • Assist with onboarding activities to support new graduate students and ensure a smooth transition to graduate school.
GEM responsibilities (20%)
  • Triage and respond to inquiries in the main Graduate Admissions' phone and e-mail accounts.
  • Participate in departmental, unit, and campus meetings and trainings.
  • Other duties or special projects as assigned by the AVP/Director or other leaders in unit.

Position Requirements
Work Location
Hybrid or remote, depending on qualifications. Some in-person training may be required.

Required Qualifications
  1. Bachelor's degree
  2. Valid driver's license with ability to travel to recruitment events, including occasional evenings and weekends
  3. Work experience that required excellent public speaking and organizational skills as evidenced by letter of application and work history
  4. Strong written and interpersonal communication skills, as evidenced in application materials
  5. At least one year of proficiency in data analysis and reporting tools to inform recruitment strategies as evidenced in application materials
  6. Outstanding customer service orientation, as evidenced in application materials

Preferred Qualifications
  1. Master's degree
  2. Knowledge of KU and graduate programs' admission requirements, policies, and procedures as evidenced in application materials
  3. At least one year of experience with Slate's CRM and application systems
  4. At least one year of experience planning and coordinating recruitment events, as evidenced in application materials
  5. At least one year of experience working in a decentralized or multi-program institutional environment, as evidenced in application materials
