Job Summary:

The Operations Coordinator plays an essential role to support various administrative functions essential to the smooth operation of the Market Launch and Support Champion teams including managing training rosters, setting up learning plans, enrolling learners, and coordinating all logistical aspects of training delivery. Additionally, this role will involve producing training sessions, assessing training needs, analyzing data, and ensuring a seamless experience for colleagues and leaders throughout the training process.This role is key in shaping the onboarding experiences of our new colleagues and contributing to their ongoing professional development.

Duties/Responsibilities:



  • Manage training rosters, track attendance, and ensure all required learners are enrolled in relevant sessions.
  • Set up detailed learning plans for employees based on training needs and program schedules.
  • Enroll learners in training sessions and monitor progress throughout the training lifecycle.
  • Send out new colleague welcome emails to colleagues and leaders with training schedules and necessary instructions.
  • Create calendar invitations for training sessions on shared calendar and ensure they are updated as changes occur.
  • Assist in producing training sessions, including scheduling, technology check-ins, supporting Q&A, and preparing necessary materials.
  • Stage test members in the Electronic Medical Record (EMR) system to facilitate realistic training scenarios and ensure system functionality during training sessions. Record test member data on training rosters.
  • Assess training needs through employee surveys, interviews, focus groups, and consultation with managers.
  • Compile and analyze data for training dashboards, tracking key performance indicators (KPIs) related to training effectiveness, completion rates, and learner engagement.



Required Skills/Abilities



  • Strong organizational and time-management skills with keen attention to detail to execute the duties and responsibilities of the job.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Ability to plan, prioritize, set goals and complete tasks in a timely manner.
  • Excellent communication skills, both written and verbal.
  • Interpersonal skills to engage with a diverse workforce.
  • Proficiency in Smartsheet and Microsoft Office Suite (Excel, Word, PowerPoint).
  • Proficient in virtual meeting technology and ability to serve as producer for training events.
  • Ability to perform basic qualitative and quantitative data analysis.
  • Ability to work independently and collaboratively within a team.
  • Growth mindset with ability to embrace and support change.
  • Comfortable working in a start-up environment.



Preferred Skills / Abilities



  • Prior experience coordinating training or learning programs is a plus.
  • Knowledge of eCW or other EMR systems.



Education and Experience:



  • Associates degree preferred, or equivalent experience.
  • A minimum of 3 years of experience in operations administration, preferably in a training, learning, clinical, or human resources environment.
  • Experience with Docebo or other Learning Management Software (LMS) is strongly preferred.
  • Experience with ServiceNow case management preferred.
  • Experience with Smartsheet preferred.
  • Experience working with eCW or other EMR systems a plus.
