Position Summary:

Process accounts payable, accounts receivable and general ledger accounting functions to assist the Finance Department in creating timely and accurate financial statements, administering franchise billing and special financial projects.

Essential Duties and Responsibilities:

  • Reconcile Bank Statements, Employee Advance, Accrued and Prepaid expense general ledger accounts monthly.
  • Process non accounts receivable cash receipts.
  • Process refunds.
  • Communicate with co-workers, management, Clients, franchisees, and others in a courteous and professional manner.
  • Conform with and abide by all regulations, policies, work procedures, and instructions.
  • Accounts Payable, matches Purchase Orders to invoices, book invoices and process weekly payables check run.
  • Track vendor operating costs for SBA monthly, quarterly and annual reports due to Contract Administration for GSA compliance.
  • Processes Sales Directors bi-weekly expense reports and reconciles corporate American Express account monthly.
  • Printing and mailing taxpayer PADD checks to the IRS, adhering to Client requirements.
  • Daily mail picked up, opened, and distributed to their departments.
  • All cash received is deposited before the end of business each day and network backup tapes are secured off site. Bank deposits and backup tapes are delivered to bank by 2:30 pm.
  • Assist AR staff with posting of incoming mailed in payments.
  • Tracks inventory for equipment toners, envelopes, copy paper, and various office supplies, placing orders as needed.
  • Assists with annual fiscal audits to ensure all documentation is provided.
  • Back-up facilities department with building work orders and maintenance, and deliveries are distributed accordingly.
  • Assist in the month end closing process.
  • Handle all misdirected payments according to Professional Practices Management System (PPMS) procedures.
  • Adherence to ConServe's Blueprint Quality Management System, Code of Conduct, and Compliance Program.

Non-Essential Duties & Responsibilities:

  • Other duties as assigned.

Education and Experience Required:

  • High School Diploma or GED
  • Associate degree in accounting, Finance or equivalent combination of education and experience

Skills/ Requirements:

  • Three (3) years of accounting experience.
  • Must be able to work independently.
  • Must be detail oriented and organized.
  • Must be able to multi-task and meet deadlines.
  • Microsoft Office knowledge required.
  • Computer Literate (for example, competent data entry and word processing skills)
  • Ability to act independently to resolve problems.
  • Good verbal communication skills.
  • Ability to travel locally.
  • U.S. Citizenship or lawful Permanent Resident alien with three or more years as a permanent resident in the United States.
  • Ability to obtain and maintain Government Security Clearance.
  • No conflicts of interest with ConServe or our Clients.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job except for periodic breaks pursuant to applicable law.

  • Occasionally lift and/or move up to 25 pounds.
  • Ability to sit or remain sedentary for your entire work shift (8, 9, or 10 hour shift)
  • Ability to talk and listen on a phone for your entire work shift (8, 9, or 10 hour shift)
  • Ability to type on a computer for your entire work shift (8, 9, or 10 hour shift)
