Position Summary: The Executive Operations Manager provides high-level administrative and operational support. Responsible for maintaining and enhancing operations at Clark College Foundation, this role delivers detailed administrative coordination, facility oversight, vendor management, and logistical support for both internal and external activities. Reporting to the Executive Associate to CEO and Board of Directors, the Manager shares responsibility for critical functions such as board operations, internal communications, and staff engagement initiatives - all with a focus on operational execution. By collaborating across departments and with external partners, the Executive Operations Manager ensures seamless support for the Executive Associate, CEO, CFO, Board of Directors, and Foundation staff, aligning day-to-day execution with the Foundation's mission and strategic priorities. This execution-focused position complements the Executive Associate's strategic leadership, translating high-level plans into actionable workflows and successful outcomes.

Position Responsibilities

Job Duties and Responsibilities: Executive and Board Support:
- Manage the CEO's complex calendar with intention and accuracy. Coordinate logistics, materials, and follow-up for Board meetings and committees.
- Assist with guest and donor visit planning and support the administration of our Board management platform (OnBoard) to ensure smooth operations and strong leadership engagement.
Culture Building and Cross-Team
- Act as a connector across departments, supporting onboarding, staff engagement programs, internal communications, and operational initiatives that build a positive, collaborative workplace culture.
Office Operations and Facilities
- Oversee daily office functions including visitor management, mail, phones, supply inventory, vendor coordination, facility maintenance, and workspace organization. Ensure shared spaces are safe, professional, and welcoming, while tracking related expenses and vendor contracts.
HR and Policy Administration
- Support the Foundation's HR activities by coordinating staff onboarding/offboarding logistics, assisting with handbook updates, tracking compliance training, and maintaining the confidentiality and integrity of HR records.
Strategic Projects and Event Support
- Help drive special projects and events by coordinating timelines, logistics, vendors, and communications across teams. Lead implementation efforts for projects such as office improvements, system upgrades, and staff or Board events.
Safety and Security Management
- Serve as the Foundation's Emergency Building Coordinator, leading safety drills, maintaining security systems, and managing building access to create a safe and secure environment for staff and guests.
Additional duties assigned as needed.

Qualifications

Education and Experience:
- Minimum of 5 years of experience in office management, executive assistance, project coordination, or related administrative support roles.
- Experience in nonprofit, higher education, or similarly complex environments is a plus.
Preferred Qualifications and Competencies:

- Technical Proficiency: Skilled with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Zoom, and other collaboration tools.

Preferred Qualifications and Competencies:
- Requires occasional evening or weekend availability to support special events, Board meetings, or other time-sensitive activities. Advance notice will be provided when such hours are necessary.
- Involves moderate physical activity related to office and event management, including occasional lifting of supplies or equipment (up to 25 lbs.) and hands-on involvement in event setup, room arrangements, or facilities upkeep as needed.
