Hill International is seeking an Administrative Assistant in Phoenix, Arizona



  • Provide general administrative support
  • Greet and Assist DCS visitors
  • Answer telephone - Assist callers, document and relay messages and/or transfer calls
  • Distribute incoming mail and packages
  • Schedule package pick-up service
  • Maintain project calendars and schedule meetings
  • Create and monitor correspondence (weekly reports, memos)
  • Date-stamp, Route Log and Track Documents

    • Change Orders
    • Payment Requests
    • Closeout Requirements

  • Meeting Minutes
  • Maintain electronic documentation, files and archives
  • Copy and scan documents
  • Print and post conference room schedules
  • Assist staff with obtaining vehicle keys and parking cards from the Key Watcher System
  • Contact Aviation Division or City Department staff by telephone or email to request service, including building maintenance, supplies, and vehicle repairs
  • Provide additional assistance as needed including but not limited to ,processing payment requests, maintain contract schedule of value spreadsheets, prepare monthly and weekly reports and monitor budgets and expenditures


  • Ability to sit at a desk for up to 8 hours per day
  • Ability to safely lift 10 pounds
  • Customer-service oriented with business professional demeanor and attire
  • Maintain reliable attendance and work on-site 8:00 AM to 5:00 PM Monday through Friday
  • Experience with electronic documentation, routing, and file management software and processes (Oracle, Adobe Sign)
  • Experience with reviewing and processing financial data
