Job Description:
- This is a 30-hour/week, temporary Administrative Assistant role that supports the Virginia Insurance and Counseling Program in the Adult & Aging Division in the Pennino Building.
- The workload will include data management and involve data entry, organization, filing, and reporting.
- The Administrative Assistant will build knowledge in the subject area and perform administrative assignments given with specific objectives, critical administrative aspects, and possible problems identified.
- Work requires, at a minimum, intermediate proficiency and understanding of using relevant office systems such as the Microsoft Office suite programs including but not limited to Microsoft Word, and Excel.
Role & Responsibilities:
- Provide general administrative support to Virginia Insurance and Counseling Program staff.
- Create and maintain spreadsheets and internal documents as needed.
- Manage the data clean-up process as needed for the Virginia Insurance and Counseling Program unit; Use spreadsheets or databases to organize information and produce standard reports.
- Compile routine factual/numerical reports using readily available information.
- Performs daily/weekly/monthly/annual data entry with some knowledge of department/work unit/program.
- Learn the database programs relevant to the unit and enter data using relevant databases.
- Run reports to perform reviews of data reports from the staff and volunteer counselors every month.
- Compile reports to staff on the findings of the data reviews.
- Work alongside internal administrative staff to ensure duties across the division meet work needs.
- Provide support as needed with unscheduled projects, data entry, outreach events, and programmatic needs.
- For example, the Administrative Assistant can package materials for the events and ensure successful community events by assisting staff in setting up materials and events and documenting voice mail for staff twice a day. During open enrollment periods (September December) or other busy times, the Administrative Assistant may need to document more regularly; Word Processing/Typing.
- Maintain, order, and track supplies as needed; Proofs spelling and grammar.
Required Standards/ Knowledge/ Skills/Abilities:
- The employee will work in this position through the appropriate temp hiring agency.
- Employees should have job knowledge, skill, and ability of a variety of standard office procedures, knowledge of work done in related departments, the ability to read and comprehend relevant documents, and the ability to process, manipulate, and integrate data.
- Employees must be able to maintain effective working relationships with both external and internal contacts.
- Proficiency in Microsoft Office Suite products is required. Knowledge and skills in Microsoft Excel are needed.
Preferred Candidates:
- Preferred candidates will have extensive experience with Microsoft Excel, data entry, and reporting.
- Preferred candidates will have experience in providing customer service to a diverse population, outstanding customer service skills, and the ability to establish and maintain effective working relationships with both external and internal contacts.
- In addition, they will possess strong independent skills, the ability to learn and apply knowledge of VICAP reporting systems; the Ability to maintain confidentiality and be sensitive to political issues; and the ability to communicate effectively (both orally and in writing).
- Preferred candidates would have extensive knowledge in applying Microsoft Office Suite applications, in particular Excel and Word. The position requires a detail-oriented, organized individual with a high level of initiative and the ability to multi-task.
