    Job Description

    The IT Procurement Coordinator is responsible for managing and coordinating the procurement, tracking, and lifecycle management of all IT-related assets including hardware, software, licenses, and mobility services. This position plays a critical role in ensuring cost-effective purchasing, vendor compliance, accurate asset inventory, and licensing audits. The ideal candidate will have strong analytical, organizational, and communication skills to collaborate across departments and support company-wide IT needs.

    Procurement Management

    • Coordinate and process IT hardware, software, and mobile device purchasing requests.
    • Create and manage purchase orders to ensure timely and accurate processing.
    • Evaluate vendor quotes and proposals for price, service level, and value.
    • Track shipments, resolve delivery issues, and verify receipt of goods.
    • Research and identify suitable products or alternatives that meet technical and budgetary requirements for purchase requests.

    Asset & License Tracking

    • Maintain an accurate inventory of IT assets, including computers, peripherals, software, and mobile devices.
    • Monitor license utilization and renewals to prevent over-purchasing or non-compliance.
    • Ensure proper tagging, assignment, and retirement of assets in the inventory system.
    • Support the return, replacement, and redeployment of devices in coordination with IT.

    Cost & Contract Analysis

    • Analyze pricing trends and vendor performance metrics to assess cost-effectiveness, delivery reliability, and overall value of suppliers over time.
    • Prepare cost comparisons and savings reports to support purchasing decisions and budget optimization initiatives.
    • Maintain comprehensive procurement records, including quotes, contracts, invoices, and cost analyses, to support audits, financial reporting, and vendor accountability.

    Audit and Compliance

    • Conduct regular audits of software licenses, hardware inventory, and mobile accounts.
    • Ensure compliance with internal controls, procurement policies, and vendor agreements.
    • Assist with internal and external audits by providing documentation and usage reports.

    Collaboration & Support

    • Work closely with IT, Finance, HR, and Operations to coordinate procurement-related needs.
    • Serve as a point of contact for operations regarding equipment ordering and usage policies.
    • Assist with onboarding processes by ensuring timely provisioning of IT assets.
    Qualifications
    • 2+ years of experience in IT procurement, asset management, or purchasing coordination
    • Background in IT equipment, licensing processes, and mobile service administration.
    • Strong knowledge of procurement processes, policies, and best practices.
    • Ability to manage multiple requests and meet deadlines in a fast-paced environment.
    • Solid understanding of IT hardware specifications and software products to assist in evaluating and fulfilling technical requirements.
    • Excellent negotiation, communication, and interpersonal skills.
    • Ability to analyze data and make informed decisions.
