Position Description

Performs support and coordinative work in direct support of an administrative team of a specific administrative office or department. Coordinates and assists with functions such as planning, researching, budgeting and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision.

Major/Essential Functions

1. College Lead Reception

  • Lead Reception for the Office of the Dean, always ensuring front coverage.
  • Coordinate any Capacity Change requests for the College (work with Ron Baker).
  • Coordinate, Maintain, and Schedule El Centro, Canyon Room, Cottage, and HS Conference 102 according to stated guidelines.
  • Process Work Orders and Project Requests - maintain official project request file
  • Assist with project coordination (communication with Operations & affected staff or faculty).
  • Process Key requests.
  • Surplus furniture requests/maintain an official file.
  • Business Continuity System Coordinator (COOP).
  • Parking Coordinator.
  • Notary Duties.
  • Lead Emergency Action Coordinator & back-up Building Emergency Manager - Maintain/ Update - Emergency File "O Drive.
  • Procurement (PO) support to include DO, EXT/REL, MKTG/COM, and Student Services.
  • Assist Executive Associate to perform:
  • Reconcile Procurement Cards monthly.
  • Processing of travel applications/vouchers.
  • Weekly inventory of supplies and purchase necessary items as needed.

2. College Business Operations Support
  • Assist with the coordination of the semesterly update of all directories, listservs, & emergency contact lists - 8/5 for Fall, 12/5 for Spring, 2/5 for internal checks, and 5/5 for Summer.
  • Assist with reconciliation of procurement cards for all units associated with the Office of the Dean.
  • Assist with processing travel for all college-level administrators.
  • Assist in financial record keeping, posting transactions, and running ledgers for reconciliation.
  • Backup processing of ePAFs and I-9s.
  • Process budget revisions and revenue transactions, including deposits/managing clearing accounts.
  • College-Print monthly Communication Services bills/Maintain phone extension spreadsheet (review for inaccuracies/errors and report to Senior Director promptly).
  • Meeting attendance expectation: Monthly DO Staff Meetings, TTU Procurement Forums when scheduled, and other meetings that may pertain to your role.
  • OTHER DUTIES AS ASSIGNED by Associate Director or Senior Director

Required Qualifications

Bachelor's degree in job related field plus one year responsible experience. Additional specific job related experience may substitute for required education on a year for year basis.
