The Opportunity We are seeking a Client Programs and Events Assistant to join our Washington, D.C. office. This position assists with the coordination of client and alumni events and educational programs.
Program and Event Coordination: Assists in planning, implementing, and supporting the Firm's client events program, including strategic key events across the global regulatory and DC-based practices. Registration and Onsite Management: Oversees event registration for both in-person and virtual events, providing regular RSVP updates and addressing inquiries. Serves as the primary contact at the event registration check-in desk, preparing materials and managing on-site staffing. Event Materials and Logistics: Arranges for the production of event materials, such as name badges, signage, banners, and booths, including setup and teardown. Coordinates with internal and external vendors to implement event plans and logistics. Event Tracking and Reporting: Contributes to event tracking databases and assists with event-related reporting. Updates Circa with key event data and Return On Investment statistics. Provides support for post-program tasks, including updating InterAction and preparing feedback summaries. Promotional Items and Gifts: Oversees the sourcing, purchase, and distribution of promotional items and client gifts including working with vendors to research options, build estimates, and maintain inventory. Manages the event closet and mails ad-hoc gifts as needed. Technology and Systems: Uses the Firm's Customer Relationship Management (CRM) system (InterAction) to create event mailing lists and update contacts. Utilizes the email management system (Vuture) for social invitations and internal tracking databases. Venue and Vendor Coordination: Sources venues for private dinners, receptions, and other client gatherings. Handles Continuing Legal Education (CLE) accreditation by researching state bar requirements. Additional Duties: Performs other related duties as assigned to support the overall success of the Firm's events.
Qualifications
Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems Knowledge of content management systems Knowledge of dynamic databases (i.e. Interaction) Demonstrates effective interpersonal and communication skills, both verbally and in writing Demonstrates close attention to detail Ability to handle multiple projects and shifting priorities Ability to handle sensitive matters and maintain confidentiality Ability to organize and prioritize work Ability to work well in a demanding and fast-paced environment Flexibility to adjust hours and work the hours necessary to meet operating and business needs

Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law. Salary Details $68,000 - $72,000
