Description:

Provides support by performing accounting and clerical functions which include but are not limited to input of vouchers, deposits, and journal entries into accounting system with a high degree of accuracy while also handling high volume and meeting strict deadlines. Assists the accounting department in matching receipts for expense reimbursements and back up for invoices. Assists with various needs of the accounting department.

Essential Functions:



  • Inputs vouchers including accounts payable invoices, subconsultant invoices, vouchers paid by credit card and unit pricing vouchers after coded by the Accounts Payable Manager or Operations Accountant
  • Reviews and matches receipts from employee expense reimbursements
  • Mails accounts payable checks
  • Assists in the payment of company accounts payable by credit card
  • Records daily deposits into accounting system
  • Inputs journal entries for staff as requested
  • Assists in the electronic distribution and filing of monthly invoices
  • Prepares shipping labels for mail and packages when necessary
  • Performs other clerical duties as requested


KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:

KNOWLEDGE



  • Thorough knowledge of Microsoft Office (i.e., Word, Excel, and Outlook)
  • Accounting software experience preferred

  • Detail-Oriented - ability to achieve accuracy and thoroughness when accomplishing a task; pays attention to details and is able to understand what caused a certain outcome
  • Organizational Skills -arranges information & files in a useful manner
  • Written communication Skills - ability to clearly deliver a message through written words using correct grammar, spelling, and punctuation
  • Interpersonal Skills - ability to interact positively and work effectively with others
  • Speech Clarity - ability to speak clearly and in a common language so that others can understand you


MINIMUM QUALIFICATIONS:



  • Two-year certificate from college or technical school OR
  • High school degree or GED equivalent

  • Extensively use a computer
  • Occasionally move about inside the office to access file cabinets, office machinery, etc.
