Job Summary:
Provides project support, administrative assistance, and routine clerical services to director and staff by performing secretarial and clerical duties.
Essential Functions:
Handles and maintains confidential information, records, and reports.
Contacts management, employees, customers, and the public to provide or secure information.
Creates presentations, reports, spreadsheets, graphs and charts.
Accesses SAP systems to enter, verify, or retrieve data.
Performs office administrative tasks.
Creates and implements processes to support projects and initiatives.
Composes, types, and edits correspondence.
Creates and maintains hard copy and electronic files.
Organizes and facilitates meeting arrangements, activities, and the scheduling of auditorium functions or special meetings/presentations.
Coordinates and schedules appointments for manager or director.
Prepares, verifies, and reconciles such items as invoices, expense accounts, purchase cards (OnePay), etc.
Makes travel arrangements, including planning itineraries, books flight reservations and make hotel and transportation arrangements for department personnel (Corporate Travel).
Provides back-up or relief for other administrative positions on occasion.
Demonstrates commitment to compliance with applicable laws and regulations, the Company's Ethics and Compliance, Code of Conduct, and other Company policies and procedures, and take all required training courses.
Demonstrates respect for all individuals and adhere to the Company's values and business practices.
Education Description:
Requires a high school diploma or equivalent knowledge of English, basic mathematics (add, subtract, multiply, divide, calculate fractions and calculate percentages), grammar and punctuation.
Requires proficient knowledge of software (including word processing, spreadsheets, presentation and e-mail) and basic knowledge of mainframe systems. Requires good communication skills, telephone etiquette and customer service.
Experience:
Requires five years secretarial or administrative requiring regular exercise of initiative, use of personal judgment and discretion without immediate supervision, attention to detail and multi-tasking.
