Summary

MSOE invites applications for a full- time Annual Giving Coordinator to join our University Advancement team. Under the direction of the Director of Alumni Relations and Annual Giving, the Annual Giving Coordinator supports the planning and execution of strategic initiatives that increase annual giving to MSOE. This includes managing student philanthropy programs, leading the day-to-day operations of the university's phonathon, coordinating donor outreach, and assisting in the development of lower-level donor appeals and events. The coordinator helps grow annual participation and giving through data-informed campaigns, direct mail efforts, and targeted outreach, while managing project timelines and supporting operational functions.

Essential Job Functions

Annual Giving Programming and Events (45%)

  • Assist the Director in executing multichannel campaigns (direct mail, email, social media, etc.) to support annual unrestricted and restricted giving goals.
  • Coordinate and help write lower-level donor appeals targeting alumni, parents, and friends.
  • Lead the planning and execution of Giving Tuesday, managing timelines, creative assets, and data segmentation to ensure timely outreach and goal achievement.
  • Analyze campaign performance and generate actionable reports to measure effectiveness and guide strategy refinement.
  • Oversee the donor paver program, ensuring accurate order fulfillment and donor recognition.
  • Support the identification, solicitation, and stewardship of leadership-level annual donors in partnership with the Director.


Phonathon Program Management (15%)

  • Manage the day-to-day operations of MSOE's student phonathon program, including student recruitment, hiring, training, scheduling, and performance tracking.
  • Execute calling strategy in alignment with annual giving goals, ensuring nightly operations run smoothly and benchmarks are met.
  • Analyze calling results and provide weekly reporting on contact rates, pledge fulfillment, and ROI.
  • Train and supervise a team of 15-25 student callers in the fall semester, fostering a philanthropic culture and ensuring consistent performance.


Faculty and Staff Giving (15%)

  • Coordinate the execution of the annual faculty and staff giving campaign, including segmented outreach, timeline management, and follow-up strategy.
  • Develop and distribute regular communication materials that highlight philanthropic impact, donor stories, and campaign progress.
  • Track participation rates and assist in stewardship activities for faculty and staff donors.


Student Philanthropy and Programming (20%)

  • Lead student philanthropy efforts including coordination, approval, and execution of 10+ student-led fundraising campaigns annually.
  • Collaborate with student organizations and campus departments to manage project timelines, ensure compliance, and support promotional efforts.
  • Oversee the Senior Giving campaign from strategy development to implementation, including material creation, digital promotion, and results reporting.
  • Assist in the design and delivery of philanthropic education programming during Welcome Week, Senior Celebrations, and other engagement events.
  • Manage Senior Giving campaign including material development, promotion, and execution.


Participate as a Member of the Office of University Advancement (5%)

  • Attend all department meetings as required.
  • Provide staff support for events and activities related to University Advancement


Other Duties and Responsibilities

Assist with donor relations projects as needed

Qualifications

  • Bachelor's degree required
  • Strong customer service and organization skills
  • Working knowledge of Microsoft Office, especially Excel and Word
  • Experience in CRM or database systems preferred, but not required
  • Requires willingness and ability to work evening hours for events and yearly fall phonathon (approximately 50 evenings over the year)

  • Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before others.
  • Ability to effectively communicate and present information effectively in both written and oral form.
  • Ability to use numbers to solve problems involving concrete variables in standardized situations.
  • Ability to apply common sense understanding to carry out written or oral instructions.


Physical Demands

  • While performing the duties of this job the employee is largely sedentary, the ability to move is required. The employee is occasionally required to travel within their work area as well as other areas on campus.
  • Ascending and descending of stairs (building that does not contain an elevator).


Work Environment

This job operates in a professional office environment. This role uses standard office equipment, including but not limited to computers, phones, photocopiers, and filing cabinets.
