SUMMARY: Working in the Marketing Department with the Community Engagement team, this role will assist in supporting Cape Cod 5's community engagement efforts, which are undertaken through the "Five Ways": Community Banking, Responsible Business, Corporate Leadership and Volunteerism, Financial Education and Philanthropy. This position will provide administrative coordination and support for all aspects of the Bank's community engagement structure and will work with various technology systems to facilitate Management's analysis, decisioning and review of impact through report generation, feedback tools and use of the Bank's relationship management software. ESSENTIAL JOB FUNCTIONS / RESPONSIBILITIES:
- Community Engagement: Provides administrative support for the Bank and Charitable Endowment Committees involved in Cape Cod 5's Community Engagement, including Community Engagement Steering, Community Engagement Board and Charitable Endowment Committee. This administrative support includes:
- Sponsorship and Grant Administration (detailed in next section);
- Assistance with meeting material preparation;
- Assisting in research about organizations providing support and general needs in our region;
- Tracking of follow up tasks;
- Administrative Support during meetings;
- Collaborating with other areas as needed.
- Sponsorships and Donations Administration: Is responsible for the administration of the Bank's Blackbaud grant-making software, end-to-end sponsorships and donations administration and related requests for support activities, including the Community Engagement Steering Committee, budget management, and coordination with other members of the Marketing & Relationship Management teams. Manages administration and payment of all approved Sponsorships and Grants in a secure and timely manner. Coordinates with Marketing on tracking Bank sponsored events and marketing needs. Makes updates to Marketing event tracking as needed. Helps to ensure that Cape Cod 5 receives all benefits related to sponsorships.
- CRA Reporting and Administration: Provides administrative support for preparation of reports for CRA and coordinates the on-going tracking, information gathering for exams, dashboard reporting and creation of Board slides for quarterly Board meetings on Community Engagement activities.
- Employee Community Service: Administers central database for employee community service and bank-wide community initiatives, including surveys as needed. Tracks and provides reports on Cape Cod 5 employees' community service efforts in volunteerism and Board participation.
- Systems Management: Serve as a system administrator for grant-making software, tracking all items through follow-up. Assists with distribution of and reporting on feedback from Relationship Teams, including ongoing maintenance of the employee database. Make updates to the process as directed by CESC. Create reports for oversight of Bank's and Foundation's philanthropic giving, corporate leadership and employee volunteers. Responds to internal questions about system, helps train users and supports adoption across the enterprise. Develops reporting structures for staff from various departments to facilitate their use of the Blackbaud software, including report development and dashboard tracking. Continues to bring forward opportunities for process improvement.
- Software Optimization: Become a subject matter expert on grant-making system. Advance system use for tracking of Corporate Leadership and Volunteerism and create effective reporting for internal and external representation of the Bank's community efforts.
- Budgeting: Assists with Bank budget preparations. Includes: gathering and compiling data; inputting data into the budget spreadsheets and grantmaking software. Works directly with Accounts Payable on weekly donations and payments, including creation of new vendors. Tracks and verifies appropriate approvals prior to submitting payment exports to Accounts Payable.
- Administration: Assists with creation of reporting or memorandums to ensure appropriate compliance with Foundation governance and funding approvals. Coordinates with Accounting to provide materials to auditors in a timely manner.
- Evaluate and develop advanced processes to gather, document and share all employee Corporate Leadership and Volunteerism. Independently responsible for tracking and updating internal Corporate Leadership and Volunteerism efforts across the company. Including sharing and researching new leadership roles such as Board or Volunteerism opportunities as they are presented.
- Coordinates large annual Community Engagement programs. Drafts, updates and distributes external communications for larger scale Community Engagement responsibilities, such as the annual Educational Mini-Grants and High School Scholarships. Internally tracks and updates Educational Mini-Grants and High School scholarships programs accordingly in grantmaking software. Coordinate with Accounts Payable and school districts on distributing payment for both programs. Drafts and updates internal communications about each program. Reviews all Mini-Grant applications and participates in approval recommendations to the Charitable Endowment Committee. Tracks and documents decisions made by the Review Committee to be presented for a vote. Creation of comprehensive list of all recommended approvals
- Research advocacy opportunities within the Bank's footprint as they pertain to the Five Areas of Focus; Accessible Housing, Community Health, Human Need & Veterans' Needs, Economic Sustainability, Education & Enrichment and Environmental Stewardship. Compile and continually update advocacy opportunities that align with these areas and develop tracking for internal participation. Draft and distribute internal communications regarding advocacy opportunities.
- Participates in drafting internal communications regarding Community Engagement related content. Works collaboratively with Communications team in support of Hub content that aligns with the goals, brand and messaging of the Bank. Provide clear and concise messaging through drafted materials for internal distribution.

QUALIFICATIONS: EDUCATION & CERTIFICATIONS:
- Associate's Degree required.
- Minimum of 1-2 years of experience in Administrative Support role preferred.
KNOWLEDGE, SKILLS & ABILITIES:
- Strong interpersonal skills and ability to work collaboratively across the enterprise.
- Excellent written, verbal and interpersonal skills.
- Technology savvy with skills that include word processing, spreadsheets, and data base system administration.
- Attention to detail. Accuracy.
- Banking experience preferred.
