The Center for Excellence in STEM Education at West Virginia University is currently accepting applications for a Program Coordinator.

About the Opportunity

This position will serve as the sole administrative staff member supporting a small dynamic, interdisciplinary team of faculty and staff engaged in multiple NSF-funded STEM education research initiatives and supporting disciplinary faculty in additional grants, with a total portfolio of approximately $40M.

What You'll Do

* Assist the Director in managing, leading, and directing the operational, financial, and personnel functions for CE-STEM programs and services;
* Oversee and manage the day to day operations of core CE-STEM grant programs;
* Coordinate local professional learning workshops, colloquium, and community events including planning all event logistics (dates, location, catering, supplies, etc.) and serve as the primary point of contact for all events;
* Coordinate the production and dissemination of CE-STEM publications, such as newsletters and marketing materials;
* Collaborate with University Relations, acting as CE-STEM brand ambassador, ensuring all developed materials meet WVU Brand guidelines;
* Develop and maintain CE-STEM program websites, including CE-STEM, WVUt and CodeWV;
* Collaborate with faculty on their development and submission of grant proposals to ensure faculty understanding of a given solicitations requirements and ensuring ample time for proposals to be assembled, checked, proof-read, and submitted within the required deadlines;
* Coordinate subcontracts and sub-awards with external institutions and departments;
* Lead program/project management of individual grant awards and ensure that each project is proceeding according to agreed upon timelines, meeting targets and expectations, and adhering to established operating parameters;
* Prepare and/or present reports concerning data, activities, expenses, budgets, or other items affecting grant programs;
* Prepare, examine, or analyze grant award financial statements or other financial reports to assess accuracy, completeness, and conformance to reporting and procedural standards;
* Report to Director regarding the finances of grant programs;
* Analyze grant award operations, trends, costs, revenues, financial commitments, and obligations to project future revenues/expenses, inform annual budget, or to provide advice;
* Provide advice and technical assistance with cost analysis, fiscal allocation, and budget preparation;
* Serve as liaison, representing WVU CE-STEM to stakeholders, outside organizations, and the community as assigned by the Director. Act as a central source of information on CE-STEM programs;
* Attend and participate in meetings on behalf of the CE-STEM;
* Deliver presentations at meetings or conferences to promote grant programs, exchange ideas, or accomplish specific grant program objectives;
* Manage full spectrum of faculty search processes including but not limited to participating on search committee, monitoring WVU Hire applications and coordinating all logistics for phone and on-site interviews as well as all coordination of the hiring process with Human Resources;
* Responsible for the direct personnel management of CE-STEM support staff and student workers, including recruitment, selection, training, evaluation, development, and discipline;
* Supervise the purchasing of supplies and services for grant programs through approved vendors and systems.
* Monitor internal procedures for fiscal and administrative policies, being sure to remain in compliance with institutional, state, federal and agency guidelines;
* Perform other necessary and appropriate tasks as directed by CE-STEM Director.

Qualifications

  • A Bachelor's degree is required.
  • Grant Development & Management - Demonstrated experience with grant proposal development, post-award management, and working with external funding agencies (e.g., NSF). Specific experience with research.gov preferred.
  • Relevant experience will be considered
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.


Knowledge, Skills, & Abilities



  • STEM Knowledge - Ability to understand and acquire knowledge of fundamental STEM concepts and terminology.
  • Fiscal & Budget Oversight - Strong skills in fiscal planning, budget management, and financial reporting.
  • Communication & Leadership - Excellent oral and written communication skills; proven ability to lead teams, coordinate events, and serve as a representative of the Center.
  • Technical Proficiency - Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and WVU systems such as MAP, Applaud, Mountaineer Marketplace, MyReports, MyExpenses, +kc and WRAP.
  • Event Coordination - Ability to organize and execute professional learning workshops, community events, and conferences.
  • Travel & Licensing - Valid driver's license and willingness to travel as needed to represent the Center.


Preferred Qualifications



  • Program & Project Management - Minimum five (5) years of experience in program coordination, project management, or mid-level management.
  • Supervisory Experience - At least one (1) year of experience in staff supervision, including hiring, training, and performance management.
