Description

This position is responsible for providing clerical assistance and communicating with the appropriate party for receiving, preparing, and shipping of parts and documentation. In addition this position provides general administrative assistance to Supervisors, as well as carrying out other duties as assigned by Management.

ESSENTIAL JOB FUNCTIONS:

Primary Job Functions Weight : 70 %

1) Keeps Detailed Log
by completing documentation as required; by recording received and shipped parts; by verifying orders; by keeping a regular inventory; by utilizing computers to document or access information, as necessary; by generating reports on common problems or trends; and by submitting reports to Supervisor or Management, upon request or when necessary.

2) Provides Effective Customer Service
by exchanging information through telephone, fax, and e-mail in a professional manner; and by following-up to ensure problems or claims are corrected, when necessary.

3) Performs Other General Handling Tasks
by distributing parts to appropriate Departments; by shipping parts to customers; by scheduling pick-ups; and by ensuring that work area is clean and orderly.

Secondary Job Functions Weight : 20 %

1) Keeps Management Informed
by reporting problems immediately to management verbally or in writing, in order to avoid confusion and problems.

2) Manages Time and Resources
by using Company resources in order to maximize productivity and accomplish tasks on time.

3) Complies with Established Procedures
by learning and following all policies and procedures of the Department in order to work efficiently and to meet the expectations of the Company.

Non-Essential Functions
Demonstrate commitment to an Injury-Free Environment by actively participating in company safety programs
Comply with all aspects of the corporate environmental, health and safety program.

ESSENTIAL JOB REQUIREMENTS:

Physical Requirements & Working Environment

While performing the duties of this job, the Staff Member is regularly required to sit and talk or hear. The Staff Member is occasionally required to stand, walk, use hands to pick-up, handle, or feel, and reach with hands and arms.

The Staff Member must occasionally lift and/or move up to 40 pounds.

Specific vision abilities required by this job include close vision and ability to adjust focus.

The noise level in the work environment is usually noisy (i.e., working with powered tools, moving parts, and heavy machinery).

The Staff Member may be required to work beyond normal business hours when necessary.

Experience/Minimum Qualifications Needed

Language Skills

Ability to effectively respond to questions from Management, Staff, clients, and the general public in English.

Ability to communicate verbally and in writing to individuals and groups in English.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.

Reasoning Skills

Ability to apply knowledge and sense of understanding to carry-out detailed written or oral instructions.

Ability to deal with problems involving a few concrete variable in standardized situations.

Other Skills

Must be tactful, mature, flexible, and able to successfully respond to multiple work pressures.

Must be able to use a computer and such applications as Microsoft Windows, Word, and Excel, and be able to design custom reports as needed.
Education

High school diploma or general education degree (G.E.D.); or one to three months related experience and/or training; or equivalent combination of education and experience.

Experience operating heavy machinery such as crane and forklift strongly preferred.

ISO and SAP experience a plus
