Description

Accounting Specialist, Full-Time, Non-Exempt

POSITION PURPOSE:

This position is responsible for Accounts Payable support, weekday cash office procedures, assigned reconciliations, act as back up and other support within the Accounting Department. This position supports Accounting utilizing a skillset that has great attention to detail, accuracy, understanding of Museum operations and not-for-profit Accounting. Performance of segregated duties and adherence to internal control procedures contributes to the audit requirement of safeguarding museum assets.

This position reports to the Director of Accounting.

PRIMARY RESPONSIBILITIES:



  • Daily Duties

    • Accounting Department




  • Supports Accounts Payable as follows:

    • Reviews and process invoices, check requests and employee expense reports.
    • Assists with pulling vendor invoices from vendor websites.
    • Assist with preparing and processing ACH payments, international wire transfers and checks.


  • Vendor database maintenance including:

    • Deactivating vendors
    • Auditing vendors for 1099 preparation


  • Purchase order maintenance
  • Sort and distribute incoming mail
  • Audit Bank of America credit card transactions
  • Other duties, as assigned


  • Cash Office - three days a week.


  • Performs daily cash vault reconciliations.
  • Prepare daily deposits.
  • Prepare weekly change orders, as needed.
  • Prepares and distributes courier per diems, as needed.


  • Monthly Duties


  • Assist with point of delivery sales tax information.
  • Maintain approval routing rules and codes list.
  • Assist with monthly utilities reconciliation.
  • Pull required documentation for fixed assets.


  • Other


  • Maintain Accounting intranet page with policies and procedures.
  • Supports Business Central user questions and training
  • Complete assigned balance sheet recs quarterly.
  • Follow the Museum's documented policies and procedures and uphold internal controls.
  • Supports other accounting team members and acts as backup for other assigned duties within the department.
  • Other projects and duties, as assigned.
  • Consistent usage of the Racial Equity Lens in day-to-day operations.
  • Yearly goal setting to support Racial Equity Roadmap initiatives.

Qualifications

QUALIFICATIONS (Education, Experience, Skills, etc.):




  • 1-2 years experience in relevant Accounts Payable processing or training which provides a working knowledge of accounting procedures.
  • Working knowledge of cash handling and accounting principles.
  • Strong customer service and interpersonal skills.
  • Ability to adapt to change.
  • Strong organizational skills.
  • Attention to detail.
  • Speed and accuracy in processing paperwork and data input.
  • Basic understanding of reconciliations.
  • Basic computer application skills.



Position type: This position will be covered by a Collective Bargaining Agreement with AFSCME-CWU.

Pay: The hiring pay range for the position is $21.00 - $26.25/hour based on experience.
