About the Job

Purpose & Objectives of the Position:
Coordinate the academic record services for UMD students. Collaborate with One Stop Student Services, the Office of Admissions, administrative offices and UMD collegiate units for effective management of academic records and communications. Work with the Office of the Registrar team to analyze, establish, and maintain information systems that support academic records. The International Transfer & Academic Records Coordinator will foster strong collaboration across all units within Strategic Enrollment Management and contribute to the success of the entire enterprise.

Essential Job Functions, Duties & Responsibilities:
This is a hybrid position that requires in-person presence with remote working opportunities.

(50%) Coordination of International Transfer Credit and Related Services
* Provides comprehensive services to support international transfer credit record processing
* Independently manage large and complex record business processes using integrated computer information systems
* Analyze student records to ensure accuracy and regulatory compliance
* Provide student services and academic record support in PeopleSoft/Campus Solutions/uAchieve and related information systems
* Analyze and review current policy and practice and make recommendations based upon qualitative and quantitative data
* Utilize best practices in all areas including change management for efficiency
and effective service excellence
* Serve as an expert resource for students, faculty, staff, and administration
* Interpret and explain a wide range of policies, procedures and guidelines
including the enforcement of the federal Family Educational Rights and Privacy
Act (FERPA) and various other University and campus academic policies
* Supervise student staff by assigning work, providing direction. Perform various personnel actions including hiring, performance evaluations, development, promotion, and salary recommendations of student staff

(25%) Curriculum Encoding
* Analyze curriculum updates and encode the degree audit reports to reflect curricular requirements
* Conduct research and clarification to ensure accuracy in curriculum encoding
* Apply problem-solving skills in troubleshooting errors
* Communicate with stakeholders during the comprehensive curriculum approval and encoding process
* Develop and manage effective documentation and training materials

(20%) Coordinating special projects in transfer credit services
* Utilize Structured Query Language (SQL) to identify data entry errors and support student record accuracy.
* Identify, report, and resolve issues associated with transfer credit and related services
* Participate in business process discussion, testing, and maintenance of complex, enterprise information systems to ensure accurate academic records and services
* Participate in writing and maintaining accurate business process documentation and training materials
* Use standard business tools (e.g. Excel, Google Suite, SQL) to understand and present complex information

(5%) Perform other duties as assigned.

Qualifications

Required
* Bachelor's degree plus at least 4 years of related professional work experience or a master's degree plus 2 years of related professional work experience.

Preferred
* Knowledge of academic records, Campus Solutions/PeopleSoft student
administration (Oracle), degree audit and transfer credit systems (DARS/DARwin, uAchieve, TES, U.Select, Transferology), or other related integrated systems
* Demonstrated strong organizational skills
* Experience working in a high volume transactional environment with attention to accuracy and detail
* Familiarity with processes and policies related to International Student records.
* Experience with stakeholder communication
* Experience delivering high-quality customer service using effective listening and problem-solving skills, the ability to handle a wide range of personalities and situations, ability to interact effectively with professionalism
* Experience with Google Suite educational tools (or similar platforms), MS Word, Excel, PowerPoint, and electronic communication
* Demonstrated ability to operate with a high level of independence, routinely making critical decisions and exercising sound judgment
* Knowledge of academic records, best practices in record management, and degree requirements

Pay and Benefits

Pay Range: $48,690.63 - $54,000.00; depending on education/qualifications/experience

Time Appointment Category: 75%-100% Appointment (If job description above does not specify appointment or expected weekly hours, assume a 100% appointment.)
